Configure profiles & permissions for time off

For Admins. Control who can create, view, approve, and manage time off requests by configuring permissions in custom profiles. Use this article to set up the right access levels for employees, managers, and HR admins.

Note: These settings are only editable in custom profiles. Standard profiles cannot be changed. Create a custom profile to freely assign permissions.


Access profiles & permissions

  1. Select the profile you want to edit from the left menu.

  2. Scroll to the Time Off section.

  3. Time off permissions are divided into three blocks: Requests, Time off management and Approvals.

Configure requests

The Requests block controls who can create, edit, and cancel time off requests.

Create new or edit past (pending approval) and future requests

Determines who can enter time off or edit existing requests.

Can enter and edit requests for all employees, including via their profile in the Time off tab

Cancel past (pending approval) and future requests

Controls who can cancel pending or future time off requests.

Cancel or edit past (submitted/accepted) requests

Controls who can modify or cancel requests that have already been submitted or approved.

Both options use the same selection: Own / Selected employees as per criteria / All employees.


Configure time off management

The Time off management block contains three sub-permissions that control access to other employees' time off data.

Here is an overview of the actions this configuration grants:

View request details (in Calendar and Overview)

Controls who can see individual employees' time off details in the Calendar and Overview.

Note: This setting must be configured before area-specific permissions for other employees can take effect.

Manage time off

Grants the right to manage time off allowances under Time off > Company, including Adjust balance, Adjust carry over and assign policies under Time off > Settings.

Configure approvals

The Approvals block controls who can approve or decline time off requests.

Restrict permissions to specific employees

For any permission with the Selected employees as per criteria option, you can restrict the scope.

  1. Select Selected employees as per criteria for the desired permission.

  2. Define the criteria for employee selection, e.g. only direct reports or employees within the area of responsibility.

  3. Confirm with FINISH.

Example: A manager should only approve time off requests for their direct team. Under Approve or decline time off requests, select Selected employees based on criteria and set the rule to "Direct reports".


Keep dependencies in mind

Some settings affect each other. When you activate or restrict a permission, related options may be automatically adjusted. After each change, check all three blocks to make sure the configuration is as intended.

Important: Access time off page must be enabled for the relevant employees before other time off-related permissions can take effect for them.


Frequently asked questions

Why can't I edit permissions in a profile?

Standard profiles in Kenjo are not editable. Create a custom profile under Settings > Profiles & Permissions and assign it to the employees whose permissions you want to configure.

How do I allow a manager to approve time off only for their team?

Open the manager's profile under Settings > Profiles & Permissions. Under Approvals > Approve or decline time off requests, select Selected employees as per criteria, set the rule to "Direct reports" and confirm with FINISH.

How do I allow an HR admin to enter time off on behalf of other employees?

Under Requests > Create new or edit past (pending approval) and future requests, select All employees or Selected employees as per criteria. The HR admin can then enter requests on behalf of others via the employee profile in the Time off tab.

A permission is not working as expected. What should I do?

First check whether Access time off page is configured for the affected employees. Without this setting, other time off-related permissions have no effect. Also check all three blocks for unintended dependencies.

What is the difference between "Manage time off" and "View request details"?

"View request details" grants read-only access to time off data in the Calendar and Overview. "Manage time off" additionally grants the right to adjust balances, assign policies, and manage carry overs under Time off > Company and Time off > Settings.
