For French DSPs: Complete Guide for Payroll

You're a French DSP and want to use Kenjo for payroll? This article walks you through the setup step by step — from activating your provider to closing your first payroll period. Follow the instructions for registration and payroll provider setup.

Activate your payroll provider

Before you can use DSP payroll, your organization must be set up as a DSP with country FR. This is done by the Kenjo team during onboarding. You'll receive your DSP ID (max 6 characters) as part of this process.

Once your organization is ready:

  1. Go to Payroll > Settings > Activate Provider.

  2. Choose your payroll provider: ADP or Deel.

  3. Fill in the required fields

  4. Click Save. The save is blocked until all required fields are filled in correctly.

If you use ADP: Enter your 5-digit payroll ID. You receive this ID directly from ADP. Inform ADP immediately about the switch or new registration with Kenjo — this is necessary so ADP can configure the data transfer correctly.

If you use Deel: Enter your Deel API token. This token must stay valid for exports to succeed. If it expires, you'll need to re-enter a new one in this dialog.

Note: When you save, Kenjo automatically creates default settings for your organization, including time-off types (RCR/Recuperation and RCO), attendance categories, surcharge rules, and variable pay types for France. You don't need to create these manually.


Prepare employee profiles for payroll

For employees to appear correctly in the payroll preview, the following must be in place for each employee:

  • Enter the start date (company entry date) in the employee profile.

  • Enter the employee ID (external ID from your payroll provider).

  • Enter the salary in the employee profile:

    • For salaried employees, enter a fixed salary.

    • For hourly employees, enter an hourly rate so the system can calculate surcharges and overtime correctly.

  • Enter the contractual weekly hours and contractual working days in the employee profile.

Without this information, employees won't appear in the payroll preview.

Note: Kenjo uses the contractual weekly hours and working days to calculate how many hours an employee should work each day. For example: 35 weekly hours across 5 working days = 7 hours per day. Overtime is the difference between tracked attendance and these contractual hours.


Configure overtime rules

French DSP payroll requires an attendance policy with overtime rules configured. You'll find these under Settings > Attendance > Policy > Edit policy > Overtime & compensation rules.

The key settings for Overtime rules in France are:

  • Calculation period — how overtime is accumulated (weekly or monthly).

  • Compensation ratio — default is 50%.

  • Annual overtime quota — default is 220 hours (13,200 minutes). This quota determines when mandatory compensatory rest (RCO) kicks in. The quota cannot be set below overtime already used this year.

Note: The overtime calculation uses your employees' attendance data (check-in/check-out). So employees must be recording their time through Kenjo otherwise Kenjo has no tracked time to calculate overtime from.


Verify RCR and RCO time-off types

This is the setting most likely to be missed — and if it's missing, overtime-to-time-off compensation will silently be zero for affected employees.

France converts excess paid overtime into time-off credit through two mechanisms:

  • RCR (Repos Compensateur de Remplacement) — replacement compensatory rest, credited from paid overtime.

  • RCO (Repos Compensateur Obligatoire) — mandatory compensatory rest, triggered once an employee passes their annual overtime quota.

Both run automatically when you close a payroll period — no manual action needed.

Verify the time-off types exist

Go to Time Off > Settings > Time Off Types and check that these types are present:

These are created automatically when defaults are set up (see step 1). On older organizations that were onboarded before this feature existed, the types may be missing. Contact Kenjo support to have them created.

Note: Once a time-off type has its integration ID set, it becomes read-only on purpose and cannot be deleted.

Assign employees to RCR and RCO policies

An employee only receives RCR/RCO compensation if they are actively assigned to a time-off policy that contains the matching type. If an employee is not assigned:

  • Their compensation is silently zero: the export does not show an error.

  • The payroll preview table flags the affected row on the Overtime Pay Out column.

  • The manual "Overtime → RCR" adjustment dialog shows a warning and blocks Save until the assignment is fixed.

To assign employees:

  1. Go to Time Off > Settings.

  2. Select the RCR (or Recuperation) policy.

  3. Assign all eligible employees.

  4. Repeat for the RCO policy.

After assigning, go back to the payroll preview and verify the warning is gone.


Review surcharges

Kenjo includes default surcharge rules for France. You'll find them under Settings > Attendance > Surcharges.

Surcharges are based on categories recorded in attendance data — night work, holiday work, and on-call hours are categorized automatically. You don't enter surcharges in the payroll page.

Note: You can create additional surcharge rules, but these won't appear in the payroll preview and are not automatically included in the export.


Review panier de jour (meal allowance)

Kenjo automatically calculates which days qualify for meal allowance (panier de jour) based on the employee's worked hours. A day qualifies when the employee worked at least the minimum required hours.

You can review and override this per employee:

  1. Open Payroll > DSP Payroll and select your period.

  2. Click on the meal allowance cell for the employee you want to adjust.

  3. The calendar picker dialog opens, showing which days qualify.

  4. Select or deselect days as needed.

  5. Save your changes.

Configure the payroll period

Make sure your payroll period settings match how your organization actually runs its payroll calendar. Go to Payroll > DSP Settings to verify:

  • Pay period type — monthly or custom.

  • Custom start day — if your period doesn't start on the 1st (e.g. the 15th).

  • Week start day — Monday or Sunday.

Note: Wrong values here shift the entire preview calculation, so double-check these before your first export.


Run your first payroll export

When you open Payroll > DSP Payroll and select a period, Kenjo automatically calculates everything from your employees' attendance data, work schedules, calendars, and time-off requests. You don't enter any data manually — the preview table shows the result.

Before exporting, check for:

  • Rows flagged on the Overtime Pay Out column — this means an employee is missing their RCR/RCO policy assignment (see step 4).

  • Unexpected zero hours — the employee may have no attendance entries for the period.

  • Incorrect overtime — check the employee's work schedule and attendance entries.

ADP only: If any employee left during the period, you'll need to review leavers before Send becomes available.

Step 1: Send a version

Click Send Version. Kenjo sends the data to your provider (CSV via SFTP for ADP, JSON via API for Deel). After sending, you can still make changes — a Change column will highlight employees with updated data.

Step 2: Close the period

Once you're satisfied the data is final, click Close. Kenjo sends the final version and locks the period.

On close, Kenjo automatically:

  1. Persists overtime history.

  2. Credits RCR time-off balance.

  3. Credits RCO time-off balance.

  4. Updates year-to-date paid overtime.

No manual action is needed for this — it happens in the background.

Note: Close is blocked if other payroll periods in your organization are still pending. For Deel, at least one version must have fully succeeded (zero failed rows) before you can close.

Checklist before your first payroll close

  • [ ] dspInfo is set: DSP ID, country FR, provider chosen.

  • [ ] Provider credentials are valid — payroll ID (ADP) or API token (Deel).

  • [ ] Defaults were created: time-off types, attendance categories, surcharge rules.

  • [ ] RCR/Recuperation and RCO time-off types exist.

  • [ ] Relevant employees are assigned to RCR and RCO policies.

  • [ ] "Overtime rules FR" configured on the attendance policy (period, ratio, annual quota).

  • [ ] Panier de jour reviewed for the period.

Frequently asked questions

Do my employees need to enter hours in the payroll page?

No. All hours come from attendance entries (check-in/check-out). Kenjo pulls this data into payroll automatically.

I see a warning on the Overtime Pay Out column — what does it mean?

The employee is not assigned to an RCR or RCO time-off policy. Assign them under Time Off > Settings, then re-check the payroll preview.

Can I edit overtime or surcharges directly in the payroll table?

No. The only field you can edit directly is meal allowance (panier de jour). To fix overtime or surcharges, correct the source — the attendance entry or work schedule.

What happens when I close a period? Kenjo automatically persists overtime history, credits RCR and RCO time-off balances, and updates year-to-date paid overtime. You don't need to do anything manually.

The RCR/RCO time-off type is locked and I can't delete it — is this a bug? No. Once a time-off type has its integration ID set (RCR, Recuperation, or RCO), it becomes read-only. This is expected.

My Deel export fails with token errors — what do I do? Your API token has likely expired. Go to Payroll > DSP Settings > Activate Provider and re-enter a valid token.

My ADP export fails — what do I do? ADP SFTP credentials are managed by the Kenjo Ops team and are not visible in the UI. Contact Kenjo support to check the connection.

Can I switch from ADP to Deel (or vice versa)? Not self-service. Switching providers requires a migration by the Kenjo Engineering team. Contact support.
