Understanding assets
An asset is any company property that employees use or maintain, such as vehicles, tools, devices, equipment, or machinery. By registering assets in Kenjo, you can:
Track asset identification and status
Link assets to work log templates so inspections are tied to specific equipment
View a searchable history of all inspections for each asset
Quickly find inspection records when damage claims arise
Assets and work logs are independent modules. You can manage assets without any linked work logs, or use work logs without assets.
Register a new asset
Add an asset
Go to Assets.
Click (+) New Asset.
Fill in the following information:
Asset Name: A descriptive name (for example, "Van 12," "Forklift 03," or "Laptop A").
Asset ID: A unique identifier (for example, license plate, serial number, internal code, or barcode). This ID helps employees select the correct asset quickly when filling out work logs.
Category: Assign the asset to a category (for example, "Vehicles," "IT Equipment," "Tools," "Machinery"). Categories help you organize and filter assets.
Status: Set the current status. Examples: "Active," "In Repair," "Maintenance," "Retired," "Out of Service."
Click Save.
Now a QR-code will be generated, which you can either print and attach to the physical asset. You can scan this QR-code via the mobile Kenjo App.
Click Okay.
The asset is now registered and can be linked to work log templates or used for inventory tracking.
Manage assets
Filter and search assets
You can filter assets by:
Category: View all assets in a specific category (for example, "Vehicles").
Status: View assets with a specific status (for example, all "Active" assets or all "In Repair").
Search: Use the search bar to find an asset by name or ID.
Show QR-Code
My Assets > [Select asset] > (⋮) Three dot menu
Click QR-Code
The QR code remains the same as when the asset was created.
You can attach this QR code to the physical asset and scan it via mobile App.
Edit or delete assets
My Assets > [Select asset] > (⋮) Three dot menu
Click Delete for deletion or Edit asset for editing.
Change Asset's name, Asset ID, Category and/ or Status
Click Save.
Important: Deleting an asset does not delete its inspection history. All work log submissions linked to that asset remain in the system and can still be searched and exported.
Note: Status changes will not change for already handed in inspections.
Link work log templates to assets
When you create a work log template, you can choose to link it to assets. This means:
Employees will see a dropdown when filling out the form asking Which asset are you inspecting?
They must select the specific asset they're working with.
Every submission is tied to that asset, creating a searchable inspection history.
To link a template to assets:
Go to Work Logs > Templates and create or edit a template.
Toggle on Attach to Asset.
Add your form fields.
Publish the template.
When employees fill out this template, they will select which asset they're inspecting, and the submission will be recorded against that asset's history.

Can I use assets without work logs?
Yes. Assets can be managed independently as an inventory registry without linking them to any work log templates.
Can an asset be linked to multiple work log templates?
Yes. A single asset can be inspected using different templates. All submissions will appear in that asset's inspection history.
What happens to an asset's history if I delete the asset?
The asset is removed from your list, but all work log submissions linked to that asset remain in your system. You can still access and export those submissions through the Work Logs > Submissions view.
Can employees see all assets or only the ones they work with?
When filling out a work log linked to assets, employees see all registered assets in the dropdown. They select the one they're currently inspecting.
How do I know which asset has been inspected the most?
Go to Work Logs > Submissions and filter by the asset name. All submissions for that asset will appear consecutively in the list with employees involved and dates.
What if an asset status needs to change frequently?
You can update the status at any time via My Assets > [Select asset] > (⋮) Three dot menu > Edit status. There is no limit to how many times you can change an asset's status.
