Request time off
Request time off by day
Go to Time Off > Personal
Click Request on the card of the desired time off type
Select the start and end date under From and To
Add a description or attachment if needed
Click Request
If no approval is required for this time off type, the button is called Submit instead of Request and the time off is booked immediately.
Once you submit the request, the requested balance is immediately reserved under Planned, even if the request has not yet been approved. Under Total time requesting you can see how many days your newly created request covers, and under Available in this cycle after request how many days you have left.
⚠️ If the Request button is greyed out or missing, there are two possible reasons: the time off type is blocked for requests during the probation period, or this time off type can only be submitted by admins and HR admins. In either case, contact your admin.
Request half a day
If half-day requests are enabled for this time off type, first select the dates and then click Morning or Afternoon instead of Full day under From* and/or To* in the request dialog.
If you don't see this option, only full-day requests are available.
Request time off by hour
If hourly requests are enabled for this time off type, select Custom time under Time off duration in the request dialog and enter the start and end time.
Request recurring time off
For regular absences, such as every Monday working from home, you can create a recurring request:
Open the request dialog and select the date
Enable the Repeat checkbox
Choose the interval (weekly or monthly) and how many times the request should repeat
Click Request
Kenjo creates a separate request for each occurrence. Each request can be individually edited or cancelled. The original recurrence configuration cannot be changed after creation.
Check the status of a request
You can see the status of your requests in Time Off > Personal on the respective card and in the Time Off History further down on the page.

Edit a request
You can edit a request using the pencil icon in the Time Off History under Time Off > Personal.
The behaviour depends on the current status:

Submitted | Click the pencil icon, make changes, click Submit | Request updated |
Accepted | Click the pencil icon, make changes, click Request | Status changes back to Pending, approval required again |
⚠️ Note: Requests with a start date in the past cannot be edited. Contact your admin.
Cancel a request
You can cancel pending and accepted requests using the X icon in the Time Off History. Alternatively:
Go to Time Off > Overview
Find the request in the list
Click Cancel and confirm with Cancel request
The reserved balance is released immediately.
⚠️ Note: Past time off cannot be cancelled yourself. Contact your admin.
Who's away widget
In Time Off > Personal, the Who's away widget shows you at a glance who is currently away or will be absent in the coming days.
Click More info to see what criteria determine which colleagues are displayed. This configuration is set by your admin or manager.
Frequently asked questions
I can't see the Request button, why?
If the Request button is missing or greyed out, the time off type is either blocked during the probation period or can only be submitted by admins and HR admins. Contact your admin.
My request was declined, what now?
If your time off request was declined, you will receive an email notification. You can find the reason in the time off history if your approver added one. You can submit a new request for a different period.
Why was my request automatically approved?
Some time off types are configured so that requests are automatically approved. For two-level approvals, the next level can automatically take over after a set waiting period. Contact your admin if the behaviour was unexpected.
Can I request time off for a past period?
Whether you can request time off for a past period depends on your policy configuration. If past dates are not allowed, an error message will appear when submitting. Admins can manually enter time off retroactively.
Why can't I edit my request?
Requests with a start date in the past cannot be edited. Contact your admin, who can adjust the request via the employee profile.
What happens to a recurring request if I change one occurrence?
Each recurring request is independent. You can edit or cancel individual occurrences without affecting the others.
I want to log time off for a past date but it's not working. What should I do?
If there is already an attendance entry on the relevant day and your attendance policy does not allow overlap with time off, Kenjo blocks the entry. First check the attendance history under Employees > [Employee profile] > Attendance. If an entry exists for that day, remove or adjust it before logging the time off. If you don't have the required permissions, contact an admin.
I have an irregular or shift-based schedule. How do I correctly request time off?
With an irregular or shift-based schedule, always request the entire absence period, not just the days you are scheduled to work. Kenjo calculates the deduction automatically based on your actual working days. If you only select individual days without a published shift plan, Kenjo deducts 0 hours and the request has no effect on your balance.
