For French DSPs: Set up payroll

Who's this for: Admin, HR Admin Set up your payroll provider, employee data, overtime rules and time-off policies so you can send your first payroll from Kenjo.

Activate your payroll provider

Your organization must be set up as a DSP with country FR before you can activate a provider. The Kenjo team does this during onboarding and gives you your DSP ID (max. 6 characters).

  1. Go to Payroll > Payroll settings and activate your provider

  2. Choose your payroll provider: ADP or Deel.

  3. Fill in the required fields. With ADP, enter your 5-digit Payroll ID. With Deel, enter your Access token.

  4. Click Save. Saving is blocked until all required fields are filled in correctly.

You get the Payroll ID (ADP) or the access token (Deel) from your provider, not from Kenjo. If you can't find it, contact your provider.

If you use ADP: Inform ADP immediately about the switch or new registration with Kenjo, so ADP can set up the data transfer.

If you use Deel: The token must stay valid for payroll to be sent. If it expires, enter a new one under Payroll > Payroll settings.

When you save, Kenjo creates default settings for France: the time-off types RCR (Recuperation) and RCO, attendance categories, surcharge rules and variable pay types. You don't need to create them manually.

You can't switch between ADP and Deel yourself. A switch needs a migration by the Kenjo Engineering team, so contact support.

Complete employee profiles

An employee only appears in the payroll preview if their profile has a start date and an employee ID. Without them, the status is Enabled - incomplete data and sending and closing payroll are blocked.

  • Start date: the company entry date.

  • Employee ID: the ID your payroll provider assigned to this person. It must match the provider's ID exactly.

  • Contractual weekly hours and contractual working days: Kenjo uses them to calculate the daily target. 35 weekly hours over 5 working days is 7 hours per day. Overtime is the difference between tracked attendance and this target.

To complete missing data, click the error message about employees not included, select Go to settings, click the employee's name, fill in the missing fields and click Save.

Employees without a salary, for example company owners, don't belong in payroll. Select them under Payroll > Payroll settings > Employees and click Actions > Disable payroll. This removes them from every payroll run until you click Enable payroll again.

Set overtime rules

French DSP payroll needs an attendance policy with overtime rules. Go to Attendance > Settings > Policies, open the policy of your French employees and find the section Overtime rules.

Setting

What it does

Calculation period

Weekly or monthly. Defines how overtime is accumulated.

Annual quota

Default 220 hours. Hours above the quota trigger mandatory rest (RCO) on top of the surcharge.

RCO compensation ratio

50% (30 minutes per hour) for companies with 20 or fewer employees, 100% (1 hour per hour) for companies with more than 20 employees.

You can't set the annual quota below the overtime already paid this year. If employees already use the quota, the change is blocked until January.

Kenjo calculates overtime from check-in and check-out data. Employees must record their time in Kenjo, otherwise there is nothing to calculate overtime from.

Assign RCR and RCO policies

Every employee who should receive RCR or RCO needs an assigned time-off policy with that type. Without it, their compensation is silently zero and no error appears in the export. RCR and RCO apply to full-time employees only. The annual quota resets on January 1, and overtime that you compensate as RCR does not count toward the quota.

RCR (Repos Compensateur de Remplacement) is optional rest instead of paying overtime. You decide per employee in the payroll preview. Overtime is paid by default. RCO (Repos Compensateur Obligatoire) is mandatory rest. Kenjo adds it automatically once an employee passes the annual quota.

  1. Go to Time Off > Settings and check that the types RCR (or Recuperation) and RCO exist.

  2. Open the RCR policy, click Manage employees, then Assign employees and select Add all or the eligible employees.

  3. Repeat for the RCO policy.

  4. Open the payroll preview and check that the warning in the Overtime Pay Out column is gone.

Organizations onboarded before this feature may be missing the types. Contact Kenjo support to have them created. Once a time-off type has its integration ID set, it becomes read-only and can't be deleted. You can still create and edit policies for it.

Review surcharges

Kenjo includes default surcharge rules for France and assigns hours to categories automatically: night work, public-holiday work and on-call hours. You don't enter surcharges in the payroll page. Review the rules under Salary surcharges. Surcharge rules you create yourself don't appear in the payroll preview and are not sent to your provider. The actual rates are managed with your provider.

Review panier de jour

Kenjo calculates the panier de jour (meal allowance) automatically when an employee works more than 4h30 over the midday period. It appears in the Panier de jour column of the payroll preview.

To correct the value for one employee, use Adjust Panier de jour in the payroll preview. After an adjustment, Kenjo no longer recalculates the value for this employee until the next payroll cycle.

Set the payroll period

The pay period must match exactly what you agreed with your provider. Wrong values shift the whole preview calculation. Go to Payroll > Payroll settings and check:

  • Pay period type: Monthly, calendar month (first to last day of the month) or Monthly, starting on a specific day, for example the 25th to the 24th of the next month.

  • Start of the week: Monday to Sunday or Sunday to Saturday.

Check your setup before the first payroll

Work through this list before you send your first payroll.

  1. Provider chosen and credentials valid (Payroll ID for ADP, access token for Deel).

  2. RCR and RCO time-off types exist, and employees are assigned to both policies.

  3. Overtime rules set on the attendance policy: period, annual quota, RCO ratio.

  4. All employees have start date, employee ID, contractual weekly hours and working days.

  5. A work schedule is assigned to every employee.

  6. A calendar with French public holidays is assigned.

  7. Pay period type and week start day match your provider.

  8. ADP: you informed ADP about the switch to Kenjo.

  9. No earlier payroll period is still open.

Frequently asked

Do my employees need to enter hours in the payroll page?
No. All hours come from attendance entries (check-in and check-out). Kenjo pulls them into payroll automatically.

I see a warning in the Overtime Pay Out column. What does it mean?
The employee is not assigned to an RCR or RCO time-off policy. Assign them under Time Off > Settings and check the payroll preview again.

Why don't I get the ID for my provider from Kenjo?
The Payroll ID (ADP) and the access token (Deel) are issued by your provider. Kenjo can't retrieve them for you.

The RCR or RCO time-off type is locked and I can't delete it. Is this a bug?
No. Once a time-off type has its integration ID set, it becomes read-only on purpose.

Can I switch from ADP to Deel, or the other way round?
Not on your own. A switch needs a migration by the Kenjo Engineering team, so contact support.
