A recap of your first Kenjo implementation session: company data, contract parameters, public holiday calendar, data import (including from TSM), attendance rules and legal compliance.

Set up your company data, public holiday calendar, employee import and attendance rules.

This guide covers the topics from your first Kenjo implementation session.


Enter your company data

Your company data defines the basic structure of your Kenjo account.

Check or complete:

  • The company name, VAT number and currency.

  • The working days and weekly hours of a full-time employee.

  • The public holiday calendar to assign to the company (see section 3).

Then create your offices (one per physical site).

Divisions, departments and teams are optional.

Use them to reflect your organisation and filter your employees more easily.

Tip:

Delete the sample data before entering your real data. This action cannot be undone.


Set up the public holiday calendar

The public holiday calendar marks the days counted as non-working days.

It applies at company, office or individual employee level.

  • Click (+) to create a new calendar.

  • Choose a reference region from the suggested template.

  • Add any missing holidays with (+) Add custom holiday.

  • Then assign the calendar to the relevant company or office.

  • If an office has its own calendar, it overrides the company calendar.

Important:

Custom holidays must be added every year. They don't carry over automatically.


Import your employee data

Data import loads all your existing employees' information in a single step.

You have two ways to do this: the standard Kenjo template, or the TSM template if you're switching from that tool.

Choose the import template

From Settings > Data import, choose Employees, then a template:

  • Local Kenjo template: for companies that haven't worked with TSM before.

  • TSM template: for companies switching from TSM. A detailed step-by-step guide for the TSM export is available directly in the import dialog.

Upload the file and map fields

  1. Download your CSV export from TSM, or prepare the local Kenjo template.

  2. Drag and drop the file into the import window, or select it from your local folder.

  3. Map the columns: on the left, the file's column headers (as they appear in TSM); on the right, the matching Kenjo field.

  4. Ignore irrelevant fields with the "Do not import data from unmapped columns" option.

  5. Click Confirm, then fix any errors flagged before you validate.

Important:

Complete your company structure and public holiday calendar before importing. These fields are referenced by the import file.


Set your contract parameters

Contract parameters determine the expected working hours for each employee.

They're the reference used to calculate attendance and time off.

For each employee, in their profile, fill in:

  • The contract type and its start date (and end date, if applicable).

  • The contractual weekly hours and contractual working days.

  • The work schedule assigned to them, which spreads the hours across the week.

Full-time employee (5 days/week)

Daily target hours are calculated from the weekly hours divided by the number of working days.

Part-time employee

Target hours are reduced proportionally.

Fixed-term contract

Tracking stops automatically on the contract end date.


Set up attendance rules

Attendance rules define how Kenjo calculates worked hours and variances.

In Attendance > Settings, configure:

  • The work schedules that define target hours per employee.

  • The overtime compensation (paid or compensated with time off).

  • The attendance tracking method used (mobile check-in, fixed terminal or manual entry).

  • The grace period and late check-in range.


Frequently asked questions

Where can I update my company information after the initial setup?

You can update your company information at any time in Settings > My Company. Changes apply immediately across the account.

What happens if a public holiday is missing from the default calendar?

If a public holiday is missing from the default calendar, add it manually in Settings > Public holidays. Create a separate calendar per site if your offices observe different holidays.

Can I re-import a file if I made a mistake in the first import?

Yes, you can re-import a file if you made a mistake in the first import. Fix the file and import it again; Kenjo flags potential duplicates before you confirm.

What's the difference between the local Kenjo template and the TSM template?

The local Kenjo template works if you've never used TSM. The TSM template works if you're switching from TSM: it matches the columns of the TSM CSV export and guides you through mapping each column to the matching Kenjo field.

Do attendance rules change based on an employee's contract type?

Yes, attendance rules change based on an employee's contract type: a part-time employee has target hours proportional to their contractual hours, and if their contract has an end date, tracking stops automatically on that date.
