For DSPs: Onboarding Session 1 – Kenjo Fundamentals and Employee Management

Set up your company structure, import employee data, and assign permission profiles in Kenjo.

Set up Kenjo correctly from day one by following the three key steps for DSPs: company structure, employee data import, and permission profiles.

Set up the company

Verify the company data

Go to Settings > My company and check that the data on file is correct:

  • Company name and initials

  • Address and contact details

Create and assign a public holiday calendar

Important: The default calendar that’s automatically set when you create a Kenjo account is usually not correct. You need to create and assign a regional public holiday calendar.

Create the public holiday calendar:

  • Go to Settings > Public holidays.

  • Click the (+) symbol.

  • Give the calendar a name (e.g. “Bavaria” or “North Rhine-Westphalia”).

  • Under Calendar template, select the matching federal state, not “Germany”, since you need the regional public holidays.

  • Click Create public holiday calendar.

  • Give the calendar a name (e.g. “Spain (Community of Madrid)” or “Barcelona”).

Assign the public holiday calendar to the company:

  • Go to Settings > My company.

  • Under Public holiday calendar, select the calendar you just created.

  • Save the change.

Create locations

Under Settings > Offices & Locations, you can register your work stations (e.g. “Bavaria station”, “NRW station”).

Note: If you operate in several locations across different federal states, create a separate public holiday calendar for each location and assign it to the corresponding location.

Divisions, departments, and teams (optional)

Under Settings, you can also optionally define Divisions, Departments, and Teams.

Important:

  • These three categories are independent of each other: teams aren’t subordinate to departments, and departments aren’t subordinate to divisions.

  • You don’t need to use all three. Choose what makes sense for your organization.

Benefits:

  • Better filtering options: you can quickly filter employees by role (e.g. Dispatcher, DA).

  • More precise permission control: you can restrict permissions more specifically based on the company structure.

Recommendation for DSPs: It’s often enough to record roles under Teams, e.g. “Dispatcher”, “Delivery Associate”, “Non-DA”.


Import employee data

Once the company structure is set up, you can enter employee data in Kenjo, either through import or manually. Check out our two explainer videos.

Import employees from TSM

Import employees with a template

Start the data import

  • Go to Settings > Data import.

  • Select Employees as the topic.

  • Click Import.

Choose the import template

You have two options:

  • Kenjo local template: For DSPs that haven’t previously worked with TSM.

  • TSM template: For DSPs migrating from TSM. You’ll find a detailed step-by-step guide for exporting from TSM directly in the product, as a link in the import dialog.

Upload the file and map fields

  • Download your CSV export from TSM.

  • Drag & drop the file into the import window, or select it from your local folder.

  • Map the columns: on the left, you’ll see the file’s column headers (as they appear in TSM); on the right, select the corresponding Kenjo field (e.g. “Worker number” → “Employee number”).

  • Fields that aren’t relevant in Kenjo (e.g. “Network operator”) can be ignored. Turn on the “Don’t import data from unmapped columns” option for this.

Finish the import

  • Click Confirm to start the import.

  • The import runs in the background. You’ll receive an automatic email once it’s finished.

Note: To get started, it’s enough to first import the basic employee data.


Assign permission profiles

Under Settings > Profiles and permissions, you define who can view and edit what in the system.

The profile hierarchy

Profiles are organized in a hierarchy, from Admin with the most rights down to the most restricted access:

  • Admin – Can view and edit everything.

  • Manager – Access to their own employees and their data.

  • Employee (Delivery Associate) – Restricted access to their own profile.

  • Employee (Non-DA) – Same as Employee (DA), but for those who aren’t drivers.

  • Restricted access – Minimal permissions.

Recommendation for DSPs:

  • Admin: DSP owners or HR managers.

  • Manager: Dispatchers.

  • Employee (DA): Drivers (Delivery Associates).

  • Employee (Non-DA): Remaining employees who aren’t drivers.

Assign a profile to an employee

  • Click the desired profile under Profiles and permissions.

  • Select the Members section in the top right.

  • Search for the employee and select their name.

Custom profiles (optional)

If the standard profiles aren’t enough, you can create your own profiles and assign more precise permissions based on the company structure (e.g. by location or department).

Tip: To get started, the predefined profiles are completely sufficient.


Getting started certificate

Once you’ve finished the setup, the Getting started view shows how far you’ve progressed with onboarding.

  • Log in to Kenjo

  • Click the rocket icon in the left-hand menu to go to Getting started

  • Select a learning path, for example Company setup (1)

  • The path is marked with a green tick once completed

  • Track your progress via the percentage indicator (2)

  • Pause your onboarding checklist at any time; your progress is saved automatically

  • Once you’ve completed the entire onboarding checklist, you’ll receive a certificate by email

You’ll receive the certificate as soon as you’ve completed the entire basic setup.

Important: The certificate is sent by email, not as a PDF or document. You need to upload this email to Amazon.


Next steps and checklist

Once the setup is complete, we recommend checking the following points:

  • Is the correct public holiday calendar assigned to the company and the locations?

  • Has all the employee data been imported correctly?

  • Do Dispatchers have the Manager profile and drivers the Employee profile?

  • Are the first three points in the Getting started view shown in green?

Important note: If you want to keep working with Kenjo, let your payroll provider (ADP or SD Worx) know about the switch to Kenjo so they can set up the interface in the background.
