For DSPs: Add an employee

Add a new employee in Kenjo step by step, from the profile to activation.

Written by Thorsten Bannes

To add new employees, go to:

A step-by-step wizard guides you through six steps: Personal, Work, Time off, Attendance, Compensation and Activation.

You can skip individual steps with Skip step. Skipping a step does not save the changes from that step. You can add all fields later in the employee profile.

1. Personal

In the Personal step, enter the basic data of the employee:

  • The first name and the last name are required.

  • The date of birth is important so that Kenjo recognizes your employees' birthdays.

Click NEXT when you have entered all personal information.

2. Work

For DSPs, the Work step contains additional fields that are required for delivery operations.

Required fields

Field

Description

Company

Legal entity the employee belongs to. It is relevant for payroll, reports and the org chart.

Language

Determines the language in which the employee sees Kenjo. It can be changed later.

Work email

Business email address. It is used as the login.

Profile

Select Employee (Delivery Associate) for DAs. For office staff, choose another profile. The profile determines the permissions and which fields are required.

Employee ID

Internal ID of the employee.

DA Transporter ID

Alphanumeric ID of the Delivery Associate. Required for the DA profile. You can find the Transporter ID in your console under the DA profile. If you have questions, your Delivery Partner Manager can help.

Start date

First working day of the employee (hire date). It can be in the past. For employees whose required time is calculated from contracted weekly hours and contracted workdays, the start date counts towards required time. No required time is calculated for days before it.

Delivery station

Station the employee is assigned to. Required for the DA profile. See the note below.

Contracted workdays

Weekdays on which the employee works according to the employment contract.

Contracted weekly hours

Hours the employee works per week according to the employment contract.

Delivery station: assign Not Amazon

The Delivery station dropdown lists all stations configured in Kenjo. At the end of the list, the option Not Amazon also appears.

Option

When to use

[Station name] (e.g. DEA1, DEF3)

Standard case: the DA delivers exclusively for Amazon.

Not Amazon

The DA delivers for other customers (e.g. Hermes). Employees with this selection can be filtered specifically in exports, for example for audit purposes.

Optional fields (under More work information)

Click More work information (Optional) to show more fields:

  • Contract end date: end date for fixed-term contracts.

  • Office: office or location.

  • Department

  • Job title

  • Reports to: direct manager.

  • Time off approver: person who approves time off requests.

  • Minimum working hours: minimum hours per week set in the contract.

Click NEXT.

3. Time off

In the next step, you can assign time off policies to the employee. This step is optional. Click SKIP STEP or NEXT if you want to do it later. Note that the time off types you see here are the ones you configured under Settings > Time Off > Settings.

4. Attendance

In the next step, you can assign an attendance policy to the employee. The default policy is assigned by default. In the dropdown, you can choose any other policy you have created. Select a policy that includes the time tracking methods the employee is going to use.

5. Compensation

In this step, you add the employee's salary and assign salary surcharges.

  1. Go to Employees and click (+) Add employee in the top right.

  2. Complete the steps Personal, Work, Time off and Attendance.

  3. Click Next until you reach the step Compensation.

You can skip this step with Skip step and add the salary later in the employee profile under Compensation. Skipping the step does not save the changes from that step.

Add salary

  1. Click (+) Add salary to open the salary form.

  2. Fill in the fields under Contract basis:

Field

Description

Salary start date

Date from which the salary applies. It is filled in automatically with the employee's start date.

Pay type

Choose a fixed monthly salary or an hourly wage.

End date

Keep the salary ongoing if it has no end date, or enter a specific date for a fixed-term contract.

  1. When you have filled in Pay type and Salary start date, more fields appear:

With monthly pay:

Field

Description

Salary

The employee's gross monthly salary.

Currency

EUR by default.

Part time

Calculated automatically from the contracted weekly hours and the company's working hours. You can adjust the value manually.

FTE salary

Calculated full-time value (read-only).

Rate per hour

Calculated automatically from the salary and used for salary surcharges (e.g. Sunday surcharge, public holiday surcharge). You can overwrite it manually. With the arrow icon you reset it to the suggested value.

Comments

Optional free text field for internal notes about the salary.

With hourly pay:

Field

Description

Hourly rate

The employee's gross hourly wage.

Currency

EUR by default.

  • Click Next.

If you want to remove the salary form, click the Remove salary icon in the top right of the card. All entered values are discarded.

Assign salary surcharges

Salary surcharges (e.g. for Sunday work or public holidays) appear in the Compensation step directly below the salary, but only if you have already created surcharge rules in the settings.

  1. In the dropdown Select the salary surcharges, choose one or more rules.

  2. The selected rules are assigned to the employee as soon as you create them.

If you have not created any rules yet, this area does not appear. You can create them in the settings and assign them later in the employee profile.

6. Activation

In the Activation step, you have the following options:

  • Send an invitation: If you enable this option, the employee receives an email invitation (via the welcome wizard) to sign up for Kenjo. You can set up and edit the welcome wizard here. Leave this option disabled if you still want to edit the profile before you send an invitation.

  • Track attendance: If you enable this switch, the employee can add time entries in the Attendance tab or with the punch clock (depending on your time tracking settings). They are then included in the calculations of the Attendance Summary.

Note: If you decide not to send an email, the employee is shown as Not activated under Employees. You have the following options to activate the employee:

  • Go to Employees > select the employee (or several) > ACTIONS > Activate employees.

  • Go to the employee profile > Personal > Activate employee.

Frequently asked questions

Why can't I assign an employee more than a certain number of weekly hours?

The limit depends on the value you set for the full-time employee under Settings > My Company. Increase this value if an employee needs more weekly hours than currently allowed.

What happens if I don't send an invitation right away when creating an employee?

The employee is shown as Not activated. You can activate them later under Employees > Actions > Activate employees.

What does the status Invited mean?

It means that the invitation was sent, but the employee has not activated their account yet. Go to Employees > [employee] > Personal and click Resend invitation to send the invitation again.

Why can't I choose a start date after the termination date?

The start date cannot be after the termination date, and the termination date cannot be before the start date. You can find the termination date under Employees > [employee] > Personal > Confidential.

Where do I enter the Transporter ID?

When you add an employee, enter it in the Work step in the field DA Transporter ID. For an existing employee, you find the field in the profile under Personal > Work. For the profile Employee (Delivery Associate) it is required, and only letters and digits are allowed.
