For DSPs: Onboarding Session 4 (DE) - Complete the Go-Live Check

The go-live check before submitting your first payroll: employee data, attendance and time off policies, and the interface to ADP or SD Worx.

Check your employee data, policies, and payroll before going live, so the submission to your DSP provider goes smoothly.

Fully set up employee data

Before you go live, every employee must be set up in Kenjo – either through the TSM import (see Onboarding Session 1) or manually. Without a profile set up for them, an employee can't be included in payroll.

In the employee directory, check that every employee profile includes the following required fields:

  • Hire date – the start date with the company

  • Employee number

  • Salary

Important: Without a hire date, employee number, and salary on the employee profile, payroll can't be run for that employee. Kenjo automatically blocks submission until the information is complete.

If any information is missing after the TSM import, add it directly on the employee profile, or update it again via Settings > Data import using our template for existing records.

Also make sure every employee has the right company structure assigned – location, division, department, and team (if you use these categories).


Invite and activate employees

A newly created employee profile is initially not activated. Only activation gives the employee access to Kenjo: they receive an invitation email with the content from your welcome wizard, add their personal details, and upload a profile picture. Once they've completed these steps, their status automatically changes to Active.

Before going live, you'll usually activate all employees at once:

  1. Go to Employees.

  2. Click the first checkbox to select all employees at once.

  3. Choose ACTIONS > Activate employees.

If you want to activate just one person instead, go to Employee profile > Personal and click ACTIVATE EMPLOYEE.

Important: The activation email is valid for thirty days. If the employee doesn't sign in via the link within that time, you'll need to activate them again. Employees are also billed as of the moment the invitation email is sent.

In the employee overview, you can filter by employee status for Not activated at any time to see who doesn't have access yet.


Assign attendance and time off policies

So employees can track their working hours and submit time off, every employee needs an attendance policy and a time off policy assigned.

Check the assignment under:

Policy

If only one policy exists

Attendance

Usually assigned to all employees automatically.

Time off

You always have to assign it manually – even if there's only one policy.

Also check the approval process: either you set up dedicated roles for it, or you use the manager (Reports to) field in the employee profile – in which case the assigned manager approves automatically.


Enable attendance tracking for employees

General employee activation (access to Kenjo) and enabling attendance tracking are two separate settings. For an employee to be able to track working hours, three things must be true at the same time:

The employee is enabled for attendance tracking

This setting is independent of the general employee activation described above.

An attendance policy is assigned

Determines how the employee tracks time – method, breaks, and rules.

Here's how you enable attendance tracking for an employee:

  • Go to Employees > [select an employee] > Personal and turn on the Enable attendance tracking toggle.

If any one of the three things is missing, the employee can't clock in – even if the other two are correct. This is the most common reason attendance tracking "doesn't work" after going live.


Check payroll data and the interface

For Kenjo to correctly submit data to your payroll provider, the payroll ID must be correct and your provider must be informed about the switch to Kenjo.

A 5-digit ID, which you can request directly from ADP.

Important: Inform ADP or SD Worx about the switch to Kenjo right away. Without this step, the interface can't match up the data, and no submission will take place.

Employees with incomplete data are flagged in red in the payroll preview and automatically excluded from submission – this is how the system prevents faulty data from reaching your provider.


Run a final check before submitting

Download the payroll locally once and review it carefully before you send it for good – this is your last checkpoint before submitting to your provider.

Go through the following checklist before clicking Send changes:

  • All employees are set up and visible in the employee directory.

  • All employees are invited and activated (status Active).

  • Hire date, employee number, and salary are filled in on every employee profile.

  • Location, division, department, and team are assigned (where used).

  • Every employee has an attendance policy and a time off policy.

  • Attendance tracking is enabled for every employee who should track working hours.

  • The approval process (roles or manager) is set up.

  • The payroll ID is correct, and your provider (ADP or SD Worx) has been informed.

  • The payroll preview no longer shows any employees flagged in red.

Important: Only click Send changes once every point above is checked off. The submission to your provider can't be undone afterward.


Frequently asked questions

Why can't I submit my payroll?
You're probably missing required data such as hire date, employee number, or salary. Kenjo automatically blocks submission until all the information is complete.

Do I need to inform my payroll provider when I switch to Kenjo?
Yes. Without this information, ADP or SD Worx can't set up the interface correctly, and the data submission will fail.

What happens if an employee doesn't have an attendance or time off policy?
They can't track working hours or submit time off. Assign them the right policy via Manage employees.

How often should I run the go-live check?
Run it once in full before your first go-live, then repeat the checklist before every new payroll you send to your provider.

Why can't my employee clock in even though a policy is assigned?
Being assigned a policy doesn't automatically enable attendance tracking. You also need to enable it under Employees > [select an employee] > Personal > Enable attendance tracking. The module, the employee's attendance tracking activation, and the policy all need to be in place.

What's the difference between "Activate employees" and "Enable attendance tracking"?
"Activate employees" gives general access to Kenjo and sends the invitation email. "Enable attendance tracking" is a separate setting on the employee profile that you additionally need to turn on so the employee can track working hours.
