For DSPs in France: Set up your company and account

For: Admin, HR Admin Set up your company profile, import your employees, and configure the basics you need before running attendance and payroll.

Register and access Kenjo

Register your organization at kenjo.io/dsp before you use Kenjo. You'll get an email invitation to activate your account after you register.

  1. Go to kenjo.io/dsp and register with your company name and email.

  2. Open the invitation email and click the activation link.

  3. Choose your country and preferred language.

Each admin and employee activates their own account from their own invitation email. Sending an invitation doesn't activate an account on someone else's behalf.


Complete the Getting Started checklist

The Getting Started checklist walks you through the core modules and settings you should configure as an admin.

  1. Log in to Kenjo.

  2. Click the rocket icon in the left menu to open Getting Started.

  3. Choose a learning path, for example Company Setup.

  4. Kenjo marks each completed path with a green checkmark and shows your overall progress as a percentage.

  5. You can pause the checklist any time. Your progress saves automatically.

  6. You get a certificate by email once you complete the full checklist.


Configure your company profile

Go to Settings > My Company to add your company name, logo, and basic company details.

Fields marked with an asterisk are required. Pay particular attention to two fields: full-time weekly hours and full-time working days. Kenjo uses them to calculate expected daily hours: 35 weekly hours over 5 working days works out to 7 hours a day, for example. Get these right before you add employees, since attendance, overtime, and payroll calculations all depend on them.

If your organization uses delivery stations, assign them from the Delivery station field on the same page.

You can also personalize your home page from this area. Go to Home and use the widget options to show or hide sections like My colleagues or Who's away, based on what's useful for your organization.


Set up your public holiday calendar and work week

In the same Settings > My Company area, scroll down to Attach public holiday calendar to assign a calendar (for example, a "France" template) to your company. This keeps non-working days out of your attendance and payroll calculations.

Right above it, Configure your work week lets you set which day your company's work week starts on and at what time. This affects how Kenjo calculates weekly hours.

If an employee has no holiday calendar assigned, Kenjo can't calculate their public holidays correctly in attendance and payroll. Changing the calendar later can affect upcoming time-off requests, so review this before your first import.


Import your employees

Add your employees to Kenjo one by one or in bulk through a data import. This is the step your whole setup depends on.

Assign a profile to every employee you add. Common profiles are Employee (DA), Employee (non-DA), and Admin. The profile determines what an employee can see and do in Kenjo.

You don't need every field filled in before your first import. You can update employee data later.


Understand employee fields and contract end date

You can't remove Kenjo's default employee fields, but you can add custom fields for information specific to your organization.

Only one field ends an employee's contract in the system and towards payroll: Contract end date, in the employee profile under Private. Setting an end date anywhere else doesn't end the contract and doesn't notify your payroll provider.


Customize email templates and signatures

You can personalize the email signature your employees and admins see on system emails, and adjust some templates under Settings > Email Templates.

Don't remove or restructure the placeholder tags in email templates, for example the ones for an employee's name or your company name. Doing so breaks the template's ability to fill in the correct information when Kenjo sends the email.


Manage roles and permissions

Kenjo uses profiles to control what each person can see and do. The default profile types are Admin, HR Admin, Recruiter, Employee, and Restricted Access. Your organization can also add custom profiles, for example a Dispatcher or Manager profile with its own permission set.

  1. Go to Settings > Profiles & Permissions.

  2. Review or adjust the permissions assigned to each profile.

  3. Assign the correct profile to each employee from their employee profile.

Admins send invitations, but each employee has to activate their own account by following the instructions in their invitation email.


Configure sign-in security (SSO and 2FA)

Go to Settings > Security to configure how employees sign in to Kenjo.

Kenjo supports single sign-on with Google, Microsoft, and Apple. You can also turn on two-factor authentication. Turning it on makes it available; a separate switch decides whether it's required for every employee or left optional per person. Before you require it for everyone, weigh the extra administrative work of managing sign-ins against how much it matters for your organization.


Set up cost centers

Go to Settings > Cost Centers to create cost centers for your organization.

Cost centers in Kenjo are informational only. They help you organize and report on your structure, but they don't feed into payroll calculations.


Set up attendance tracking

Review your attendance policies before employees start tracking time. These are the rules that govern shift limits, breaks, and rest periods.

Go to Attendance > Settings > Policies to configure or review the policy applied to your employees. If a policy rule gets violated, for example a daily hour limit is exceeded, Kenjo shows a conflict on the affected attendance entry. That flag helps you spot issues without checking every entry by hand.

New employees don't get attendance tracking enabled automatically. Go to the employee's profile, and under Actions, click Enable Attendance Tracking.

You'll also want to review these related settings during setup:

  • Rest rules. Under Rest Rules, set your minimum daily break (for example, 30 minutes required after 6 hours worked) and the minimum rest required between two shifts (for example, 11 hours). You can apply each rule to Attendance, Shiftplan, or both.

  • Geolocation. Restrict where employees can check in or out. You can set separate rules for check-in and check-out, and for each one choose whether an out-of-zone attempt only alerts the admin or blocks the check-in or check-out entirely.

  • Salary surcharges. Configure surcharge rules under Attendance > Settings > Salary Surcharges, for example a night-work surcharge or a public-holiday surcharge. Kenjo automatically calculates which surcharge category applies to each tracked hour, based on the time window or condition you set. The actual surcharge rates or amounts paid are managed with your payroll provider, not set in Kenjo.

  • Overtime compensation. Configure your organization's overtime rules under Attendance > Settings > Overtime Compensation. By default, overtime is paid automatically; you can redirect specific hours to compensatory rest instead from the payroll preview. If your organization is in France, you'll also set an annual overtime quota (default 220 hours) and a compensation ratio for the mandatory rest that kicks in once an employee passes it. Review your configured thresholds and ratios against your current legal requirements before relying on them. Check this article for more details.

If your organization uses the Mobilic integration for France, you don't configure it from Settings. It's its own tab inside Attendance, alongside Attendance Settings. Look for the dedicated Mobilic integration article that explains all details.


Understand time off types and policies

Kenjo distinguishes between time off types, like vacation or sick leave, and time off policies. Understanding how they relate to each other matters before you assign them to employees. The time off types for French DSPs are set up automatically by Kenjo.

One time off type can have several policies. The policy defines the specific rules: entitlement, expiration dates, and approval workflow. Your organization's time off types come with default rules pre-configured where they matter for payroll, but review them before you assign policies to employees.

Note: Once a time-off type has its integration ID set, it becomes read-only on purpose and cannot be deleted.

When you set up a time off policy, you'll also configure:

  • Visibility and proof requirements. Decide who can see the policy, and whether a supporting document is required, for example from day 1 or only from day 3 onward.

  • Allocation type. Fixed (a set number of days or hours per cycle) or unlimited.

  • Allocation cycle. Most policies run on an annual cycle starting January 1, with the allocation either granted all at once or accrued monthly (for example, 2.5 days per month).

  • Proration. Kenjo can prorate the allocation based on weekly working hours or on contract length, so part-time employees get a proportional entitlement instead of the full-time amount.

  • Carryover. Let employees carry unused days into the next cycle, with an optional cap on how many days and an expiration date for the carried-over balance.

Avoid turning on day-rounding options unless you have a specific reason to. Rounding can cause the balance shown to an employee to not add up the way they expect.

Sick leave policies follow the same setup as other time off types, but the allocation is usually unlimited. Decide whether admin approval is required, or whether requests are accepted automatically once submitted.

Approval workflows. Choose between two models: employees submit requests in Kenjo and an admin approves them, or only admins enter absences directly, based on requests received outside Kenjo (email, phone, and so on).

Balance adjustments and restrictions. Admins can manually adjust an employee's balance, and can assign specific policies to particular groups or apply time-based restrictions, like blocking requests during your high season.


Configure payroll

The payroll area lets you connect your payroll provider. Once it's connected, you can review overtime and allowance calculations for the current period in Kenjo and submit them automatically.


Set up Shiftplan and the mobile app

If you plan to schedule employees using Shiftplan, activate the module under Settings, then enable individual employees for scheduling.

Activate employees for scheduling. Before you can schedule someone, activate them individually: open the employee's profile, go to Actions, and complete the activation steps for location, working area, roles, and tags.

Create shifts. Click a day on the calendar to create a shift manually, setting the start time, end time, break duration, location, and role. You can select multiple consecutive days and multiple employees at once. For faster setup, you can also create shifts in bulk, build reusable templates with standard hours (for example, 8am to 5pm), or let Kenjo's AI suggest a schedule based on the needs you enter. Advanced options also let you set up recurring shifts across multiple weeks.

Open shifts. An open shift has no employee assigned yet. Choose how it gets filled: employees apply and a manager approves, or the first employee to apply gets it automatically.

Conflict detection. Kenjo can flag several kinds of scheduling conflicts: overlapping shifts, a shift that doesn't match the employee's assigned role, a conflict with approved time off, insufficient rest between two shifts, and exceeding the legal daily work limit. Review and configure which of these block publishing in your Shiftplan conflict settings.

Only published shifts count toward an employee's working time. Unpublished shifts don't factor into attendance calculations. Employees get their shifts and any shift changes as push notifications on their phone through the Kenjo mobile app.


Frequently asked questions

Do I need to fill in every employee field before I import my team?

No. You can complete an initial import with just the required fields and add the rest of the employee data later.

Which field actually ends an employee's contract?

Only Contract end date, under the employee's Private tab, ends the contract in Kenjo and notifies payroll. Setting an end date anywhere else has no effect on contract status.

Is attendance tracking automatically enabled for new employees?

No. You need to enable it manually from the employee's profile under Actions > Enable Attendance Tracking.

Should I turn on two-factor authentication for all employees?

You can, but weigh the added administrative work first. Many organizations enable it selectively rather than for everyone.

Do cost centers affect payroll calculations?

No. Cost centers in Kenjo are for internal reporting only, not payroll.
