Scheduled Hours and Time Off for shift plan employees with regular work schedules

Understand two key changes for regular work schedule employees using shiftplan: How scheduled hours are calculated how time-off requests work on published shift days.

Who This Applies To

This applies to employees with:

  • A Regular Work Schedule (a fixed weekly distribution of hours, e.g., Mon–Fri 8h/day)

  • Shiftplan active on their profile

Note: If you're on an Irregular Work Schedule, or you don't use Shiftplan, this update doesn't change anything for you.


What's New

1. Scheduled Hours Always Follow Your Work Schedule

Your Scheduled hours: shown on the progress bar in My Attendance and in Attendance Summary are now always based on your work schedule's daily distribution, whether or not a shift has been published for that day.

Before this update, if you had no published shift for a given day, scheduled hours could show 0h. That no longer happens: your work schedule value is always shown, even on days with no shift yet.

2. Published Shifts Show as a Reference

For employees and admins published shifts are still visible in My Attendance/Employee's Attendance tab labelled as a Published shift. When the shift planner publishes a shift in Shiftplan, it still appears on the daily row along side the work schedule value. This is informational: it tells you what the employee is expected to work that day operationally, but it doesn't change the employee's scheduled hours, which continue to come from your work schedule.

3. Requesting Time Off on a Day With an Extra Shift

If the shift planner publishes a shift on a day that isn't part of an employee's regular work schedule (for example, an extra Saturday shift), the employee can now submit a time-off request for that day. Previously this could be blocked because the day wasn't marked as a working day in your work schedule.

This applies to time off policies where the deduction is based on your actual shift for example for sick leave. For those policies, the deduction from your balance matches the actual published shift for that day and not a flat average — whether the shift is longer or shorter than your usual day. If no shift is published for a day, the deduction falls back to your work schedule's usual value for that day. Vacation and similar policies typically use an average by policy, so this doesn't change how vacation is deducted.

Example

Setup: Employee with a Work Schedule of 8h30 Monday to Thursday and 6h on Friday, and an extra Saturday shift published in Shiftplan, requesting time off under a policy that deducts based on actual shift (e.g., sick leave).

Before: Saturday time off either blocked (non-working day) or deducted at a flat average.

After: Saturday time off allowed, deducted at 10h (actual published shift).

What Doesn't Change

  • Irregular Work Schedules are unaffected by this update

  • Time-off requests already approved: if a shift is later edited or removed, the balance already deducted is not recalculated

  • Vacation policies will continue to use the deduction method you selected in the time off policy's settings under Deduction.

  • Public holidays: a public holiday falling within a time-off request is not affected by this update

  • My Attendance: Daily rows show scheduled hours (from employee's work schedule) and, where relevant, your published shift.

  • Attendance Summary: Scheduled reflects your work schedule and Actual shows what an employee actually worked and tracked

  • Time Off > Request time off: available days now include days with an extra published shift


Frequently asked

Can I disable this for specific employees?

No. The behavior is set per time-off policy in the deduction setting, not per employee. If you need different behavior for different groups, create separate time-off policies with different deduction settings.

What if a shift is changed or deleted after time off was approved?

The time-off deduction is locked at the amount that was deducted when the request was approved. Changing or removing the shift afterward does not recalculate the balance.

Does vacation deduction change?

No. Whatever you selected as a deduction method for each of your time off policies under Deduction will continue to work for you.
