For DSPs: Manage and track locations (geolocation)

In this article, you learn how to activate location tracking, set the geofence behavior, and create locations.

Written by Franzi Schuetzer

Use the geolocation feature to capture your employees' GPS data when they track time. This article shows you how to make sure your employees can only clock in from authorized places. This matters most when you need location-based time tracking at the office or other work sites.

Note:

As soon as you have activated the Attendance module (Settings > Features > Attendance), you can activate the geolocation feature.

Activate location tracking

For the system to capture GPS data, you need to enable location tracking in the relevant attendance policies.

  • Go to Attendance > Settings > Attendance policies.

  • Select the policy you want and click the three-dot menu.

  • Select Edit policy.

  • Go to the Location tracking section.

  • Activate Allow location tracking by ticking the checkbox in the right corner.

  • Click Set geofence behavior if you want to warn or block employees who check in outside a location.

Set the geofence behavior

You decide how the system reacts when someone tries to clock in outside the permitted zone.

  • Warn employees:

    • Your employees get a notice on their mobile device when they clock in or out.

    • The notice shows whether they are inside or outside the work location.

  • Block employees:

    • The system prevents your employees from checking in or out outside the defined zone.

    • In this case, employees cannot use the clock-in slider in the mobile app.

Create, edit, and delete locations

You need to add one or more locations so your employees can record their location when they are, for example, at the office or at the delivery station. You can also define a valid radius around each location.

Follow these steps to add a new location to the system:

  • Go to Attendance > Settings > Activation & locations.

  • Click Add location.

  • Enter the name and the exact address of the location. Set the Radius within which location tracking counts as valid.

  • All fields marked with an asterisk (*) are required.

  • Click Validate address. Check your entries one last time and click Save. Your new location is now created.

To edit the radius or the name of a location, for example, click the three-dot button next to the location and select Edit.

To delete a location, click the three-dot button next to the location and select Delete.

Note:

  • If location tracking is deactivated or no locations have been added in Kenjo, time tracking works without location tracking.

  • If an employee has not activated location services on their phone, geolocation does not work and the time is recorded without a location.

  • Geolocation only works on a mobile device, not in the desktop application on a computer.

Clock in and out inside the radius

As soon as you have activated geolocation, your employees get a visual confirmation when they record their attendance.

Note:

If your employees have deactivated location services on their device, no position is saved and the time entry is marked with a grey location icon instead.

Clock in and out outside the radius

With this option, your employees get a warning if they try to clock in or out outside a defined location. Their mobile device shows right away whether their current position is inside or outside the permitted work location.

Block clocking in and out outside the radius

With this option, you can stop your employees from checking in or out outside a defined location. If your employees are outside the area, the slider on their mobile device stays locked, so no time tracking is possible.

Overview of your employees' location status

Location status in the employee overview

In the Time tracking overview you can use a color code as an admin to see at a glance whether your employees checked in and out inside or outside the defined radius, or without any location data.

Meaning of the icon colors

In your overview, the colored location icons show you the status of each booking right away:

  • Green: Your employees recorded their attendance at a valid location stored in the system.

  • Yellow: The attendance was recorded at a place that is not assigned to any of your stored organizational units.

  • Grey: Your employees did not use GPS when they recorded their attendance (for example, because location permissions are deactivated).

Location status in the employee profile

As an admin, you can open the Employee profile > Attendance to see where your employees were when they recorded their attendance.
