Set the termination date in the employee profile
Open the employee profile via People > Select employee > Personal.
Scroll to the Confidential section.
Enter the Termination date. This is the employee's last working day.
The change is saved automatically.
Note: The Contract end field under Business information is a different field. It records the agreed end of a fixed-term contract and does not end the employment automatically. Only the Termination date counts as the employee's exit.
Set the end date in the salary
Go to Salary in the horizontal menu.
Click the three-dot menu (⋮) in the Salary row.
Select Edit.
Enter an End date and click Update.
Deactivate the employee
Note: As soon as you deactivate the employee, they lose access to Kenjo immediately.
Open the employee profile via People > Select employee > Personal.
Click Deactivate employee in the right-hand menu.
In the new window, check the termination date.
Select a Termination reason.
Click Deactivate employee.
Trigger an offboarding workflow (optional)
You can automate the offboarding process with Kenjo workflows. If you want to set up automatic task assignments for HR, IT and managers, the termination date serves as the trigger.
Go to People > Select employee > Personal.
Click Trigger workflow.
Select a workflow. Ideally it is called Offboarding or similar.
Click Trigger.
Frequently asked questions (FAQ)
Is the data deleted after deactivation?
No. All profile data, salary records, time tracking entries, documents and absences are fully retained and remain visible to authorized users.
Can I change the termination date afterwards?
Yes. You can edit it at any time under People > Select employee > Personal > Confidential in the Termination date field. You adjust the salary end date separately via the three-dot menu in the Salary tab. The Contract end field under Business information does not change the termination date.
Why does my employee show as "deactivated - terminated" in payroll?
This applies to DSPs with payroll in Kenjo. This status appears when the termination date is before the start of the current payroll period. If the termination date is later, the employee shows as "activated until [date]" and is still included in payroll.
What happens to open absence requests or tasks?
They are retained and must be processed manually or assigned to another employee.
Does the employee receive a notification when deactivated?
No. Deactivation itself does not send an automatic email. An invitation email is only sent when the employee is reactivated.
