Set up shift swap settings

In this article you'll learn how to configure shift swap settings and manage visibility permissions for employees who want to exchange shifts with coworkers. You'll enable the shift swap feature and decide which employees can see each other's shifts based on roles, locations, working areas, employee groups, or specific individuals. This article is relevant for all Kenjo customers who want to set up and manage shift swapping functionality.

With our swap shift feature, employees can easily and independently exchange shifts with one another. A shift swap request must be accepted by the other employee before it becomes effective. If the request is declined or expires, the requester keeps their original shift and remains responsible for working their scheduled time.


1. Set up shift swap settings

Here you can find two functionalities. The first functionality allow employees to access company shifts on mobile enables your employees to see their coworkers shifts. You can restrict the visibility to specific employees, employee groups, roles, locations or working areas.

In order to use the second functionality allow employees to swap shifts on mobile, the first options needs to be toggled on.

So, the first option must be enabled before the second can be used.

  • Toggle on the switch for allow employees to access company shifts on mobile

  • Configure the visibility settings

Option 1: Allow employees to see all their coworkers' shifts: Here no restrictions are in place, your employees will see all the shifts from all other employees.

Option 2: Restrict the visibility

You can now configure shift visibility and decide which employees can see each other’s shifts. You can select all possible combination of restrictions, you can check none, one, two or all three of the boxes and select additionally or instead of the check boxes specific groups or only specific employees to see each other's shifts.

  • At least one role matches with employee

  • At least one location matches with employee

  • At least one working area matches with employee

  • Select specific groups: Select teams, offices or locations

  • Select specific employees: Select only specific employee names whose shifts will be visible for others

In our example the employees will see shifts of employees whose (at least one) roles and working areas match, Team A's, Team C's and Office 8's members and of the employee Geraldine Little.

Employee view

Your employees will now see a new company tab in their mobile shift plan overview, showing only the shifts of these coworkers you have just configured. In our example this would be all shifts of: role matches, location matches, Team A, C, Office 8 and Geraldine Little.

Additionally they will see a swap shift icon in their shift overview.

2. Allow employees to swap shifts on mobile

  • Toggle on this switch when you want employees to being able to swap shifts on their mobile
