Setting up capacity planning

Learn how to activate capacity planning in Shiftplan, create shift types, and track coverage across your locations.

Availability: Capacity planning is available in Connect v4 and the DSP +Admin plan. It is not available in Starter, Growth, or Connect v3 plans.


Activate capacity planning

  1. Go to Shiftplan > Settings > Capacity planning.

  2. Toggle Activate capacity planning to the right.

  3. Enable Allow partial coverage if you want shifts that do not fully cover the defined time window to still count as fulfilled capacity (recommended).


Create a new shift type

A shift type defines how many employees with which roles you need for a specific time window — for example, "Monday morning shift: 3 cashiers, 2 warehouse staff". Shift types form the basis of the capacity display in Shiftplan.

  1. Go to Shiftplan > Schedules and click the Capacity button at the bottom left.

  2. Click New shift type at the top right.

  3. Fill in the general information:

    1. Shift type name

    2. Start and end time and any break duration

    3. Location and work area

    4. Enable Create templates based on shift (recommended)

    5. Click Next

    6. Define the staffing requirements: set the number of employees per role. Click (+) to add a role or the trash icon to delete one.

    7. Click Save.

Note: The default week shown is the current week. Use the blue arrows in the week display at the top left to plan a different week. On the far right you can filter by location to see the capacity coverage for all locations.


Distribute shift types across days

Once you have created one or more shift types, assign them to the desired weekdays.

  1. Click a weekday cell in the capacity view.

  2. Select the shift type.

  3. If needed, set a recurrence under Repeat on.

  4. Under Advanced options you can specify a frequency and an end date for the recurrence.

  5. Click Add.

The capacity view now shows the target staffing for the shift type. As long as no shifts have been published, coverage is at 0.

  1. To fill the capacity, go to Shiftplan and open Templates.

  2. Drag and drop the template onto the relevant employees.

  3. Click Publish.

  4. Open the capacity view.

The colours of the capacity cells show whether target staffing has been reached:

At the top right of the capacity view you can see the four metrics for the selected day:

The weekly summary at the top also shows the Total hours of all scheduled shifts for the entire week as a quick overview of coverage.


Publish open capacities as open shifts

If capacity is not fully covered, you can create the missing shifts directly as open shifts in Shiftplan so that employees can apply for them.

  1. In the capacity view, click a capacity cell for a specific day.

  2. Click Publish as open shifts. All uncovered shifts for that day will be created as open shifts in Shiftplan.


Edit and manage shift types

  1. In the capacity view, click Shift types.

  2. Click the three-dot icon next to the desired shift type.

  3. Select Edit, Duplicate, or Delete.


Understanding partial coverage

When Allow partial coverage is enabled, shifts that only partially overlap with the defined time window still count as fulfilled capacity, as long as they fall within that window.

Frequently asked questions

What do the colours green, orange, and red mean in the capacity view?

Green means target staffing is fully reached. Orange means it is partially covered. Red means no employees at all are scheduled for that shift type.

Can I activate capacity planning for specific locations only?

No. The setting applies globally to the entire Shiftplan. However, you can filter by location on the right side of the capacity view to check coverage per location.

What happens if I delete an already scheduled shift?

The capacity display updates immediately. If deleting the shift causes target staffing to fall below the required level, the colour changes to orange or red accordingly.

What is the difference between a shift type and a template?

A shift type defines the target staffing (how many employees with which role are needed). A template stores the details of a single shift (time, location, role) and is used for quick creation. When creating a shift type, you can enable the option "Create templates based on shift" so that both are created automatically.
