In this article you'll learn how to set work hour capacity for each day and monitor whether your shifts are under, over, or properly staffed. The capacity planning feature helps you avoid over- or understaffing by displaying color-coded badges that show your scheduled shifts as a percentage of planned capacity. This article is relevant for anyone managing staff schedules and needing to balance workforce availability with operational requirements.
To add capacity, click on the "pencil" icon.
Set the number of work hours that you want to cover every day. For example, for each day, you might need 48 hours scheduled (at least, 6 workers working 8 hours each). However, for the weekends, this number might increase slightly.
Keep in mind that, this process must be done only once. However, you can always edit it and adapt it.
This feature helps you avoid over- or understaffing. Therefore, you can see the percentage of your planned shifts, and find out whether:
You have scheduled too many shifts (over capacity),
you have scheduled too little shifts (under capacity),
or you planned just right.
For a better overview, the different colours mark whether you are under- or overstaffing. Here is an explanation of the colours:
Grey, when you planned exactly the right amount of shifts (100 per cent).
Yellow, when you did not plan enough shifts (...<100 per cent).
Dark orange, when you planned too many shifts (...>100 per cent).
Hover your mouse over each badge to know how many hours you still need to plan, or how many hours you have overplanned.
Under the name of each employee, you will find a badge that follows the same rules as the capacity planning feature. The only difference is that the availability is going to be based on their work schedule. In the example below, this employee has one hour extra according to their schedule. Therefore, the badge appears in red.
