Using Shift Planning in the Kenjo Mobile App

For whom: Employee View your scheduled shifts in the Kenjo app, check in and out, take on open shifts, enter your availability, and swap shifts.

Access Shiftplan in the app via Main menu > Shiftplan. The home screen shows you today's shift, your upcoming shifts, and the planned and already worked hours for the current week.


Overview

Under Today you'll find your upcoming, ongoing, or completed shifts for the day. An ongoing shift appears in green, completed shifts in grey, and upcoming shifts in purple. You can see the role, start and end time, date, work area, location, and an optional note from your planner.

Upcoming shifts appear in purple. You see them as soon as they've been published. A countdown next to the shift card shows how much time is left until the shift starts. You can only check in on the day of the shift.

Under Total you see two values: Planned (your planned hours for the week) and Checked in (hours already worked according to the time clock).


Clocking in for a Shift

Tap the shift to open it. You'll then see all the details as well as the START button to check in. The check-in screen shows your active shift, the start time, and — if your company has configured check-in rules — from when you can clock in and why you may need to wait.

  1. During the shift, you see your current working time as well as the buttons to start a break and to check out.

  2. Tap Take a break to start a break. Tap End break when you're back.

  3. At the end of the day, tap Swipe to check out. You'll see a summary of your hours worked.


Calendar and Shift Cards

In the top right you see a shift swap icon and a calendar icon. Tap the calendar icon to switch to the schedule view. Here you can see all planned shifts in a calendar overview.

Days with shifts are marked with a dot: blue for newly published shifts you haven't seen yet, grey for already viewed ones. Tap a day to see the shift cards for that day: completed shifts in grey, ongoing in green, upcoming in purple.


Taking on Open Shifts

Open shifts are shifts not yet assigned to any employee. You can apply for them in the app if your company has enabled this feature.

Note: The Open shifts feature is not available in all Kenjo plans. Whether you can apply for open shifts depends on your company's plan and your admin's settings.

  1. Tap the Open shifts section in Shiftplan.

  2. You'll see all available open shifts with date, time, location, and role.

  3. Tap a shift and then tap Apply.

A Best Match badge may appear next to your name — it shows how well your qualifications (role, location, markers) match the shift. The higher the value, the better the shift fits you.

If there's an overlap with an already scheduled shift, the app will notify you.

Note: Depending on your company's settings, your application will either be automatically confirmed or must first be approved by your manager. You'll receive a notification once a decision has been made.


Entering Availability

Let your planner know when you're not available or when you prefer a particular day. Note: unavailabilities are visible to your planner but are not a binding obstacle — they can still assign you a shift.

  1. Tap the calendar icon with a cross and checkmark in the Shiftplan area.

  2. Tap Create working hours.

  3. Specify whether you're unavailable all day or only at certain hours.

  4. Optionally select a recurrence under Does not repeat (weekly, every 2/3/4 weeks) and an end date.

  5. Save. Your planner will see the unavailability when creating shifts.


Notifications

When a new shift plan is published, you receive a push notification. For a single new shift, the date is shown; for multiple new shifts, only a notice that several shifts have been assigned appears.

Tap the bell icon next to your name to view all notifications. For a single assigned shift, you go directly to it. For multiple shifts, you go to the first day in the series and can browse through them. New shifts are marked with a blue indicator.

Frequently Asked Questions

I can't see any shifts in the app. Why?


Shifts are only visible once your planner has published them. If you don't see any shifts, ask your manager whether the schedule has already been published. Also check that push notifications are enabled in your device settings for the Kenjo app.

Can I decline a shift in the app?


No. Scheduled shifts cannot be declined directly in the app. Contact your manager if you are unable to take on a shift.

What happens if I apply for an open shift that overlaps with another one?


The app shows you an overlap warning. You can still submit the application, but your planner will make the final decision.

Does my planner see my entered unavailability?


Yes. Entered unavailabilities are visible to your planner and are shown in the shift plan as an orange icon next to the employee. However, they are not an absolute obstacle — your planner can still assign you a shift.

Why can't I check in yet even though my shift is starting soon?


Your company may have configured check-in rules that define how early before the shift starts you're allowed to clock in. The check-in screen shows you the earliest possible time. Contact your admin if you have questions about these rules.
