Understand how it works
A variable payment is a one-time or recurring payment for an employee (for example a bonus or allowance) that shows up in the payroll preview table for the period it applies to. Kenjo offers two ways to import variable payments from a file under Settings > Data import:
| Detailed template | Bulk by employee |
Layout | One line per employee, per date, per payment | One line per employee, all payment types for one date |
Recurring payments? | Yes | No, one-time only |
Best for | Few employees or recurring payments | Many employees at once, for the same date |
Import variable payments in bulk
Go to Settings > Data import.
Select Variable payments as the import type.
Choose Bulk by employee.
Click Download our template and fill it in: one row per employee, with a column for each payment type. Identify each employee using their Employee ID (or another identifier you map during import, such as work email).
Set the Currency (defaults to EUR) and the Effective date for the payments.
Upload the completed file and confirm the import.
Once imported, the payments appear for the matching employees in the payroll preview table, under the period that includes the effective date you set.
Frequently asked questions
What's the difference between "Detailed template" and "Bulk by employee"?
"Detailed template" lets you enter one-time or recurring payments, one line per employee/date/payment. "Bulk by employee" only supports one-time payments, but lets you enter all payment types for an employee on a single line for one date.
Which employee identifier can I use in the template?
The Employee ID (employee number) by default. If your file uses a different identifier, such as work email, you can map that column during the import instead.
Can I import recurring variable payments with the bulk option?
No. "Bulk by employee" only supports one-time payments for the effective date you set. Use "Detailed template" if you need recurring payments.
Where do the imported payments show up?
In the payroll preview table, under the period that includes the effective date you set during import.
