Import time off requests in bulk

In this article you'll learn how to bulk import time off requests by uploading a template file with employee time off data.

  • eAU will be skipped if it's enabled for a time off type

  • Mandatory document attachment will be skipped if it's enabled for a time off type


1. Select Import Type

  • Navigate to Settings > Data import

  • Select Time off and click Import

  • Choose the option Create time off requests and click Next



2. Upload Your File

  • Select whether the time off requests will be in Days or Hours.

  • Choose the language for the header columns (based on the import file language)

  • Click on Download our template, and a file will be downloaded to your system with the data from your account

  • Fill out the downloaded template

  • Insert the filled-out template and click Upload

Column headers with * are mandatory for the import.

Work Email *

Pick the employee’s work email from the dropdown options

Time off type name *

Pick a time off type from the dropdown options

From *

(YYYY-MM-DD)

Add a From date in the format YYYY-MM-DD

Part of day (From) *

Dropdown options:

  • From start of the day

  • From midday

To *

(YYYY-MM-DD)

Add a To date in the format YYYY-MM-DD

Part of day (To) *

Dropdown options:

  • Until midday

  • Until end of the day

For hourly requests

Pick the employee’s work email from the dropdown options

Pick a time off type from the dropdown options

From *

Add a From date in the format YYYY-MM-DD

To *

Add a To date in the format YYYY-MM-DD

Start hour (HH:mm) (Only for same-day requests with custom time)

Add Start hour in the format HH:mm, only for same-day requests with custom time

End hour (HH:mm) (Only for same-day requests with custom time)

Add End hour in the format HH:mm, only for same-day requests with custom time

3. Map columns

This is the name of the mapped time off type in Kenjo

The green check mark indicates that the respective field has successfully been mapped

The black x indicates that the field was not mapped

  • Click x to delete the Kenjo field that has been mapped by default

  • Find the correct field via drop-down-menu and select it

Check this box to exclude unmapped columns

  • Click Confirm after mapping is complete.



4. Finalize

  • Review the file name

  • Click Finalize import to complete the process

When all data is processed you receive an email of the import. You can also view it in the Data import section, also whether errors occurred.
