Understand and use Workspaces for Analytics

For whom: Admin, HR Admin

Written by Kenjo Marketing

Complete these steps before 30 September 2026

Note: The old Dashboards view will be turned off on 30 September 2026 at 23:59. After that date, only Workspaces are available for interactive analytics.

Good news: your HR data is already available in Workspaces from day one. Kenjo migrates the Standard Dashboards to Workspaces automatically, so no manual data migration is needed. Only your custom Dashboard variants need to be recreated.

Before the cutoff, do the following:

  1. Open Analytics > Workspace and check that your data looks correct.

  2. Verify that the Standard Workspaces cover the metrics and views you rely on.

  3. Recreate any custom Dashboard variants as Custom Workspaces by duplicating the closest Standard Workspace.

  4. Contact support via the chat icon at the bottom right of kenjo.io if you need help recreating a specific Dashboard.

Why Workspaces

Workspaces are Kenjo's new home for HR analytics inside the Analytics module. They replace the legacy Dashboards view with a faster, more customizable experience:

  • 10x faster performance. Queries run on Kenjo Intelligence, the new semantic data layer. Charts and metrics load instantly, even on large datasets.

  • Customizable content. In Custom Workspaces, add, edit, and remove widgets to match how you work.

  • Multiple widget types. Combine metrics, line charts, bar charts, and tables in one view.

  • Per-widget data export. Download the raw data behind any widget for further analysis.

  • Global filters. Apply a filter once at the top of the workspace and every widget updates.

Every Workspace is either Standard (maintained by Kenjo, read-only) or Custom (created by you, fully editable).

Find and open a Workspace

Workspaces live inside the Analytics module. To access them, go to Analytics > Workspace in the main navigation.

You see a list of all available Workspaces. Standard Workspaces (maintained by Kenjo) are labeled with a Standard badge. Custom Workspaces (created by you or collegues via duplicating an standard workspace) show an timestamp indicating when they were last saved. Click any Workspace card to open it.

Workspace structure: filters and widgets

A Workspace has two main parts: a global filter bar at the top and one or more widgets below.

A global filter bar at the top of the page. Available filters include time period, company, office, department, area, team, absence type (for time off), employee status, and the option to search for an individual employee. Filters apply to every widget in the workspace.

Widgets. Each widget is one metric or view. For example, the Time off overview has 8 widgets: Time off taken, Absence days by department, Time off by type, Total time off, Current balances, Time off rate, Absence rate, and Absence rate by employee. Each widget shows the timestamp of the underlying data at the bottom of the card.

Interact with a standard Workspace

You can interact with any Standard Workspace without duplicating it. The following actions work on both Standard and Custom Workspaces:

  • Apply filters by setting values in the filter bar at the top. Every widget updates to reflect the filter.

  • See details on hover by moving your cursor over any chart bar, line, or segment. A tooltip shows the exact values for the data point.

  • Export a widget by moving your cursor over the widget. A grey download icon appears in the top-right corner. Click it to download the raw data for that widget.

Export is available per widget only. To download all widgets, export each one individually.

Create and manage custom workspaces

A Custom Workspace is a fully editable copy of a Standard Workspace. You create one by duplicating a Standard Workspace, then adjust its widgets, filters, and layout to match your needs.

Watch the GIF to see how to duplicate, edit, save, and export a widget of a Custom Workspace.

Duplicate

To edit a Standard Workspace, first duplicate it to create a Custom copy. You can do this in two ways.

Option 1: from the Workspaces list

  1. Go to Analytics > Workspace.

  2. Move your cursor over the Standard Workspace card.

  3. Click Duplicate in the bottom-left of the card.

Option 2: from inside the Workspace

  1. Open the Standard Workspace.

  2. Click Duplicate to edit (blue button, top right).

Kenjo then creates the Custom Workspace with the same widget layout. It is fully editable: add, edit, or remove widgets, change filters, and save changes.

Edit, Save and Export

Inside a Custom Workspace, move your cursor over any widget to see three action icons in the top-right corner: Download, Edit (pencil), and Delete (trash).

  1. Click the Edit-icon in the upper right corner of a specific workspace's widget.

  2. To add a new widget instead, click + Add widget (top right of the workspace). Both actions open the same editor.

    You can change the following:

    • Metric. The data the widget shows. Metrics are grouped into 5 categories: Time off (8), Recruiting (8), Attendance (8), People (6), and Compensation (1).

    • Group by. Split the metric by a dimension (for example, by department, office, or employee). Leave empty for a single total value.

    • Filters. Narrow the data with one or more filters (for example, only a specific department or absence type). Click + Add filter to add one.

    • Time range. Set the reporting period, e.g. Last 3 months, Last year or Next 6 months, or Custom.

    • Granularity. Time bucket for time-series widgets: Day, Week, Month, or Year.

    • Unit. For time-based metrics only: Days, Hours, or Both.

    • Visualization. How the widget renders the data. Available options depend on the metric:

      • KPI: a single value (for example, 85.5 days)

      • Line: line chart over time

      • Bar: bar chart

      • Stacked: stacked bar chart (for grouped metrics)

      • Table: data table

As you change settings, the Live preview at the bottom of the editor updates automatically so you can see the result before you apply it.

  3. Click Apply to keep the widget change. Click Cancel to discard it. After applying, the change is only in your working copy. An Unsaved Changes badge appears next to the workspace title.

  4. Click Save at the top right of the workspace to persist all changes. If you leave the workspace without saving, your changes are lost.

Once you have applied and saved your customized widget, you can see it in your Custom Workspace. Click the export icon in the top-right corner of the widget to download the data to your computer.

Frequently asked

What do I need to do before 30 September 2026?

Open Analytics > Workspace, verify that your data looks correct, and recreate any custom Dashboard variants as Custom Workspaces. Kenjo migrates the Standard Dashboards automatically, but your custom variants are not migrated.

Where do I find Workspaces?

Go to Analytics > Workspace in the main navigation. All Standard and Custom Workspaces are listed there.

Do I need to migrate my data manually?

No. All your HR data is already available in Workspaces. Only the visual layout of custom Dashboard variants needs to be recreated as a Custom Workspace.

What happens if I do nothing before 30 September?

Standard Dashboards are already available as Standard Workspaces, so your standard reporting is preserved. Only your custom Dashboard variants disappear when the old view is turned off. Recreate them as Custom Workspaces before the cutoff to keep them.

Why can't I edit this Workspace?

Standard Workspaces (labeled STANDARD) are read-only to keep them consistent across all organizations. To make changes, duplicate the Standard Workspace first. Your duplicate is a Custom Workspace and fully editable.

Can I rename a Custom Workspace after creating it?

No. You choose the name at the moment of duplication, and the name is fixed after that. If you need a different name, duplicate the Standard Workspace again with the correct name and delete the old Custom copy.

What happens if I forget to save my changes?

Your changes are lost. Every time you edit a Custom Workspace, an Unsaved Changes badge appears next to the workspace title. Click Save (top right) before leaving the page.

Can I export the whole Workspace as one file?

No. Export is available per widget only. Move your cursor over each widget and click the grey download icon in the top-right corner to download that widget's raw data.

What if I need help recreating a specific custom Dashboard?

Open a support ticket via the chat icon at the bottom right of kenjo.io. Describe the Dashboard you need to recreate and include screenshots if possible. Our support team helps you build the matching Custom Workspace.
