Understand Kenjo notification types

In this article you'll learn how to understand the different notification types in Kenjo, including notifications in the Bell icon and default email notifications.

Understanding Notifications in Kenjo

There are three types of notifications in Kenjo:

  • πŸ”” Notifications in the bell icon inside Kenjo

  • πŸ“± Notifications in the mobile app's notification list

  • ❗️ Push notifications on the smartphone lock screen

Understanding the Bell, Mobile List, and Push Notifications

The three channels are independent of each other. A notification only appears on the smartphone if it was explicitly set up for it.

Why the numbers don't match: The mobile list shows fewer types than the bell because some modules (Recruiting, Performance Review, Meetings, Tasks) are not available in the app. Push shows more types than the mobile list because some push notifications are sent for events that the app cannot display yet.

Known issue: The push notification Your already approved time off request was subsequently modified reaches the smartphone, but when tapped, the app does not open a details page and the notification cannot be found anywhere in the app afterwards. This is a known bug.

Disable push per module: Employees can disable push notifications in the app settings under My Account > Settings for each module (Time Off, Shift Planning, Attendance, etc.) individually.

Viewing and Archiving Bell Notifications

These notifications appear in the Notification Bell at the top right of Kenjo. An orange dot appears as soon as you have received a new notification.

Click the bell to open Notifications > Activity. There you see all the notifications the system has sent you. When you click Open on the left side, you will be redirected to the relevant module and see the details of the notification, e.g. for an approved time off you will be redirected to Time Off > Requests. Click the right arrow icon to archive the notification. Here you see an overview of notifications, but the list is not complete:

Click Archive or Archive All to archive notifications. Under Notifications > Archive you see archived notifications and can move them back to Activity via the blue arrow on the right.

Note: The orange dot remains until you open the notification window, even if you have already completed the associated action (e.g. an approval) before.


Finding Notifications by Module

Each of the following actions automatically triggers a notification in the bell (πŸ””) and/or in the mobile app list (πŸ“±), and/or as a push on the lock screen (❗️):

Attendance

  1. πŸ”” You have been assigned a PIN code for attendance control. You will receive a notification in the desktop app and the PIN code via email.

  2. πŸ”” Your PIN code has been updated or reset. You will receive a notification in the desktop app and the new PIN code via email.

  3. πŸ”” You were clocked out automatically (e.g. at the end of a shift if no manual punches occurred). This only happens if your admin has enabled this rule in the attendance policies.

Time Off

  1. πŸ””πŸ“±β—οΈ Time off requests pending approval (to admins, managers, delegated approvers and/or second approvers)

  2. πŸ””πŸ“±β—οΈ Your time off request has been approved

  3. πŸ””β—οΈ Your already approved time off request was subsequently modified

  4. πŸ””πŸ“±β—οΈ Your time off request has been rejected

  5. πŸ””πŸ“± Approved or rejected requests for time in lieu

Note: If you submit multiple time off requests at once, Kenjo combines the approval or rejection into a single collective notification instead of one per request.

Smart Docs

  2. πŸ”” Confirm Reading: A reminder for you to confirm reading a specific document.

Shift Planning

  • πŸ””πŸ“±β—οΈ Imminent Shift Start: Your shift starts soon.

    • Your admin sets up this reminder under Shift Planning > Settings > Notifications in the Reminder of Imminent Shift Start section, specifying the lead time in hours and minutes.

Details on the Shift Start Reminder: Your admin turns desktop and mobile notifications on separately. The desktop notification is available in all Kenjo plans, the mobile notification only in the Connect v4 and TAA+ Admin plans. The lead time applies uniformly to the entire workforce, based on a single time zone chosen in the settings. Even if your team is distributed across multiple time zones, all reminders are still sent according to this one time zone.

  1. πŸ””πŸ“± Submit Availabilities/Unavailabilities: A reminder to enter your availabilities or unavailabilities for the upcoming shift plan, depending on what your admin has set.

  3. πŸ””πŸ“±β—οΈ Shift No Longer Assigned: A shift that had been assigned to you has been withdrawn from you.

  5. πŸ””πŸ“±β—οΈ Open Shift: A new open shift is available or an existing open shift has been updated.

Meetings

Finding Standard Email Notifications

These emails are not related to your own workflow emails and cannot be disabled.

Employees receive a standard email:

  1. When a document is uploaded to their personal Smart Docs (Smart Docs > Employee Documents > Personal Profile)

  2. When an admin creates their Kenjo profile

  3. When an admin submits a time off request on their behalf

  4. When they want to reset their password

  5. When a new digital signature request is sent to them

Note: If you upload a document via Smart Docs > Import > Payroll, Kenjo does not send a standard email. Only uploads to an employee's personal Smart Docs trigger this email.

HR Admins receive a standard email:

  • When someone uploads a document to another employee's profile


Frequently Asked Questions

Can I disable bell or standard email notifications?
No, neither type can be turned off.

Why do I see fewer notifications in the app than in the browser bell?

The mobile list shows 27 out of 46 types. Modules like Recruiting, Performance Review, Meetings, and Tasks are not available in the app, so their notifications don't appear there.

I got a push notification, but I can't find the notification in the app.
This is a known issue with "Your approved time off request was subsequently modified". The push is sent, but the app doesn't open a page when tapped and doesn't show the notification in the list.

Am I notified when my shift swap is rejected?

It depends on who you are: If you made the swap request yourself, you get a notification about the rejection. If you only created one of the two swapped shifts without being involved in the swap yourself, you don't get a notification if it's rejected; the creator notification only goes out when a swap is accepted.

Do I get a notification when I delete my own shift?

No. The deletion notification only goes to the creator when someone else deletes the shift.

Do all employees get the shift start reminder on their phone?

Only if your company has the Connect v4 or TAA+ Admin plan. Without these plans, employees still get the reminder as a desktop notification if your admin has enabled it.

Do I get a collective notification when multiple time off requests are approved at once?

Yes. If someone submits multiple time off requests at the same time, Kenjo bundles the approval or rejection into a single notification instead of one per request.

Why doesn't the orange dot disappear even though I've already taken the action?

The dot only reacts to whether you have opened the notification window, not to whether the underlying task has already been completed.

Can I disable push notifications for individual modules?

Yes. In the app settings, you can turn push on or off individually per module (Time Off, Shift Planning, Attendance, etc.).
