In this article you'll learn how to create public holiday calendars, attach them to your company and offices, and manage multiple location calendars. Public holiday calendars ensure that attendance, time offs, and vacation days are calculated correctly for your organization. This article is relevant for HR administrators who need to configure holiday calendars for one or multiple office locations.
1. Create public holiday calendar
Create the calendars that are relevant for your company in order to calculate the attendance, time offs and vacation days correctly.
Go to Settings > Public Holidays
Click on the (+) button on the left to add a new public holiday calendar
Enter a public holiday calendar name
To select a calendar template, type in the country of this location
Search for the federal states in brackets and click on the correct one
The newly created public holidays' location will appear on the left menu under PUBLIC HOLIDAYS CALENDAR
Select the calendar and check if all bank holidays are entered
In case the template does not show holidays from the cities or regions where your office is locate add them by clicking on the missing date
Select whether it's a full day of public holiday, or half a day in the morning or afternoon
Note: These custom holidays should be added every year.
You can add one public holiday calendar per office located in a different city or region.
2. Attach calendar
To company
Navigate to Settings > My Company > Companies > Attach calendar of public holidays
Add the corresponding calendar
Your selection is automatically saved
To office
DO NOT FORGET to assign the calendars for the offices, too.
Navigate to Settings > My Company > Offices
Select an office
Go down to Attach calendar
Add the corresponding calendar
Your selection is automatically saved
3. Hierarchy of Calendars / Multiple Locations
If your company has multiple offices or locations, the office or location calendar always applies — it takes precedence over the company-wide calendar.
Example: The company Wooden Smith Ltd has three locations in the UK, with its headquarters in Manchester. The company is therefore assigned a holiday calendar for England. Under Office & Locations, additional holiday calendars have been created for the other two locations. A new employee, Max, who works from Edinburgh, has the Edinburgh office assigned in his profile – so the Scottish holiday calendar applies to him.
This also applies to virtual offices and locations.
Example: Max works as a remote employee from Cardiff, Wales. Under Office & Locations, a Welsh holiday calendar is created and assigned to Max in his employee profile.
