Adding and Managing Candidates

For whom: Admin, HR Admin Add new candidates to your recruiting process in four ways: manually, via email forwarding, through your career page, or by partnering with agencies.

1. Add Candidates Manually

Create a candidate directly in the system by entering their information yourself.

  • Go to Recruiting > Candidates and click (+) ADD NEW CANDIDATE.

  • A form opens with the fields you've configured under Settings > Recruiting > Settings > Candidate Fields. Fill in all required fields and click Save.

  • The candidate now appears in your list under Recruiting > Candidates and can be assigned to a job opening.

2. Import Candidates via Email Forwarding

Forward applications arriving in your personal mailbox directly to Kenjo. A new candidate is registered automatically.

Step 1: Find Your Email Address

Go to Recruiting > Settings. You'll find your organization's email address in the format [email protected].

Step 2: Set Up Forwarding Rule

Set up an automatic forwarding rule in your email provider. The exact steps differ by provider — for Gmail, find instructions here: https://support.google.com/a/answer/4524505

Important: You must be an administrator of your email system for the forwarding rule to work. Otherwise, a confirmation code is requested, which doesn't work for automatic forwarding.

Step 3: Manage Forwarded Applications

Once everything's set up, forwarded emails land automatically under Recruiting > Inbox. You can view the email's contents directly. The candidate then appears under Recruiting > Talent Pools. Click ASSIGN to assign the candidate to a job opening.

3. Recruit Candidates via Career Page

Publish your job openings on your career page. Candidates can then apply directly online without you needing to enter their information manually.

  • Requirement: Your career page must already be published and open positions must be active.

  • Applications appear automatically under Recruiting > Candidates and can be edited directly.

4. Partner with Agencies and Headhunters

Grant external agencies or headhunters access to your recruiting system to manage candidates together.

Frequently Asked Questions

Can I edit candidates after I've created them?

Yes. Open the candidate under Recruiting > Candidates, click their name, and update the fields as needed. Don't forget to save.

What happens if I send an email to the email2candidate address that doesn't contain a name or email address?

The forwarded email lands in Recruiting > Inbox, but no candidate is registered automatically. You can manually extract the application information from the email and create a new candidate.

Can I assign a candidate directly from the inbox to a job opening, or do I need to go to talent pools first?

You can click ASSIGN directly from the inbox — you don't need to navigate to talent pools. After assignment, the candidate appears under that job opening.
