Managing overtime: convert and pay out

For Admins: Reduce accumulated overtime by converting it to time off (compensatory leave) or paying it out. Both options require a positive overtime balance.

Convert overtime to time off

For a single employee

  1. Go to Employees > [select employee] > Attendance and click Actions.

  2. Under Overtime actions, select Convert overtime to time off.

  3. Fill in the fields and click Save.

Field details:

  • Number of hours to convert (required): Once entered, the remaining balance is shown.

  • Absence policy (required if multiple are assigned): Select the policy to credit the days to.

  • Number of additional days (required): The days that correspond to the hours being converted.

  • Comment (optional).

For multiple employees (bulk action)

  1. Go to Attendance > Attendance summary and select the relevant employees.

  2. Click Actions > Convert overtime to time off.

  3. Fill in the fields and click Save.

Conditions for bulk action: The selected employees must have a positive overtime balance and share at least one common absence policy.

Pay out overtime

Create a variable pay type

Before you can pay out overtime, a variable pay type must exist.

  1. Go to Payroll > Payroll settings > Salary > Variable pay types to create one.

  2. Add a pay type with a Name and click Save.

Process the payout

  1. Go to Employees > [select employee] > Attendance and click Actions.

  2. Under Actions, select Pay overtime.

  3. Fill in the fields and click Save.

Field details:

  • Number of hours to be paid (required): The payout amount is calculated automatically.

  • Current gross salary per hour (required): Calculated automatically, but can be overridden.

  • Variable payment type (required): Select the variable pay type you created earlier.

  • Payment date (required).

  • Comment (optional).

Note: Payout is only available for individual employees: there is no bulk action for this.


Frequently asked questions

Why can't I convert or pay out overtime?

Both actions require a positive overtime balance. If the balance is 0 or negative, the actions are not available.

Why is payout greyed out in the bulk view?

Payout only works for individual employees. For multiple employees at once, only converting to time off is available, and only when they share a common absence policy.

There are no options in the variable payment type field.

First create a variable pay type under Payroll > Payroll settings > Salary > Variable pay type. Without one, no payout can be saved.
