Manage Time off policies of an employee

Modified on Wed, 28 Apr, 2021 at 8:11 PM

Go to Time off > Company, here you have an overview of all employees and their time off types as well as their assigned policies.

Note: At first glance, you will only see the active employees. If you also want to edit policies for inactive employees, you can do so by using the filter.

Changing assigned Time off policies

If you want to change the assigned policy of an employee, please follow the next steps:

  • Click on the three dots button against the respective employee
  • Choose Manage policies from the menu
  • You will find all the Time off types along with Policy assigned to each of them
  • Make the necessary changes by choosing the policy under Policy assigned
  • Click on Save changes

When you select a policy, you can pick the Apply date to decide when to apply this policy.

  • Today: available always so that you can assign the new policies right away
  • Next cycle: available always so that you can schedule assignments for the next cycle

If the Allowance type is Earned or Annual grant, the system will automatically display the Calculated balance once you select the Apply date. If you want to change the calculated balance, you can do it manually by following the below steps:

  • Go to Time off > Company, click on the three dots button against the respective employee
  • Choose Adjust balance from the menu
  • Enter the New balance and click Adjust

Deleting assigned Time off policies

If you want to delete the assigned policy of an employee, please follow the next steps:

  • Click on the three dots button against the respective employee
  • Choose Manage policies from the menu
  • You will find all the Time off types along with Policy assigned to each of them
  • Click on the "x" button under Policy assigned to remove an assigned policy
  • Click on Save changes

Note: When a policy is deleted for an employee, all values related to that Time off type (Carry over days, balance, days taken, Days planned) will be set to Zero. If you assign the policy again later, the previous history won't be reflected.
