Whistleblower channel for external/internal people

Kenjo brings the opportunity to enable a whistleblower portal for employee's companies working with us. This portal will allow you to operate as a whistleblower while keeping you anonymous, in order to safeguard your identity and disclose any violations that may arise within the firm.

What exactly is a whistleblower?


As an employee, you have the right to act as a whistleblower and report reprehensible situations or activities that are immoral, illegal, or breach internal policies. The system is designed to be used to bring matters to light that would not otherwise have come to light.


If desired, you can report privately by providing your name and contact information, or you can stay absolutely anonymous. All questions will be handled in a discreet and secure manner.


Get access to the Whistleblower Portal


The Whistleblower Portal will be a public URL that anyone with the link can access, and it will be where a Whistleblower would go to file a new case or review an existing one. This link should be provided by your HR team.


 

This whistleblower portal is mobile-friendly and may be viewed from any device. On mobile devices, it appears as follows: 





Report a case as a whistleblower


Creating a case from the Portal page is very simple, just click on Create a new report and you will be redirected to a new form:



  1. First, you must choose the Category in which you want to report the rule violation
  2. After you've decided on a category, you can summarize the Subject using keywords 
  3. Then, as a whistleblower, put a Description of the case you want to report
  4. If you wish to add any files, you can do so by Drag and drop or by choosing a file
  5. Non-anonymity vs. anonymity: As a whistleblower, you have the option of reporting a case anonymously so that your identity is not revealed
  6. If you do not want to remain anonymous, you can give a name and surname instead



Confirm the creation and the access code to the case


Following the creation of the incident, you will be asked to copy an Access code that will be needed in order to follow up with the incident. Once you have copied the code, you must check the box I have copied the access code to enable the button and confirm case creation of the report, you can also enter your email to follow up on the report.



Note: The Access code is your responsibility. If you misplace or lose the code, neither the administrator nor Kenjo can assist you in recovering it. As a result, you should treat the code with care and avoid losing it.



Add an email address for updates and notifications


If you wish to be automatically notified when something changes in a whistleblower case, you can enter an email address to receive notifications. This email address will not be shared with your employer, or third parties or used in any other way than strictly communicating updates.


To maintain your privacy as a whistleblower, notification emails never include information about the case itself, other than its id.


As long as you have submitted an email address as a whistleblower, you will receive notification emails. This email address cannot be changed after the case has been created.




Review a case using the portal


You can check the status and updates of a previously reported case by visiting the portal and clicking on Review existing case and then entering the Access code you got:




After entering the Access code, you will be taken to a window with the case report in detail. Through the Case Messages area, you can connect with the person in charge of the case, anonymously.


If you forgot or for any other reason didn't do it upon reporting the case, you can here share extra attachments with the accountable party using the Paper clip.



Should there be any update on the report, and so long you have provided an email address, you will receive an email notification, allowing you to open the case report and stay up-to-date.
