Request read receipts

In this article I'll show you how you request read receipts for company or employee documents.

Read receipts for company docs






Once you upload a document under Smart Docs > Company Documents in Kenjo, you can request a read confirmation. This feature allows you to ensure that important documents are read and lets you check who has already marked a document as read.


  • Click on Smart Docs > Company Documents.
  • Click on (+) Upload Document.
  • Select the file and add tags if necessary. See this article for how to best use tags. 
  • Tick the box for Request Read receipts.
  • This will prompt employees to confirm they have read the document, and you can track who has marked it as read.







Using tags



Note that you can use tags to restrict the visibility of documents for your employees. To do this, select the tag for, e.g., a department in your company. However, if you do not set any tags as visibility restrictions, the document will be available to everyone.


If you upload the document without selecting any tags, all the people in the company (all active employees) will receive the Read Receipt. Even when you select a Company doc, you are not selecting any specific company at this point in time, so it is send to everyone. If you have two companies, the reading request would be for both companies. Company Docs are not specifically related to a single company but for the whole organization.





Confirm read receipts and review read status



As an employee who needs to confirm a read receipt, an email will automatically be sent out to you. 



  • Click on OPEN DOCUMENT in your e-mail inbox. 
  • You will be redirected to the Kenjo website and see the respective document.
  •  Read the document and click the I CONFIRM I HAVE READ field on the right side of the document. 





As an admin, you will see a new action: Review Read Status.




  • Click Review Read Status. 





1.  Requested: States whether a read receipt was requested from this employee or not.


2Status: Informs you about whether the documents has already been declared read or not.


3. Visible: Informs you about whether the documents is visible for a respective employee or not


4. Actions: You can perform three actions here:

  • Send a read receipt
  • Send a reminder
  • Export data

If you didn't activate the Read requeswhen you uploaded the document, you will not see the Review Read Status option. Instead, you will see the option to activate it via the Request read receipt field. As an admin, you can activate it at any time, and the people you chose before by using tags will receive the email.




Read receipts for employee docs


 

You can also request read confirmations for employee documents. However, in this case, you can only add the confirmation request after uploading the document.

  • Go to Smart Docs > Employee Documents.
  • Click on an employee.
  • Click on (+) Add Document and select the file.
  • Click on the uploaded document and, in the right-hand menu under Actions, select Request Read Confirmation.
  • The employee will receive the read receipts request by email and can click I confirm that I have read the document in the document.


To check the document's read status, click on the document in the employee folder and view the status in the right-hand menu:


1.) Hasn't read



2.) Has read




Requesting a Read Confirmation After Upload


If you didn’t activate the read confirmation when uploading a document, you can do it afterward with these steps:


  • Click on the document.
  • Click on Request a read receipt. 


If you use tags in your document, the read confirmation will be sent to all employees in that tag group (e.g., Finance, Marketing, etc.). If no tags are used, the read confirmation request will be sent to all employees in your company.






Limiting Visibility After Upload


If you decide later that the document should no longer be visible to everyone, keep the following points in mind:

  • When you click Check Read Status, you may see that some employees with a read confirmation request no longer have access to the document.
  • The document is no longer visible to these employees, and the Send Reminder action is no longer available.
  • If these employees try to click Open Document in the read confirmation email, they will receive an error message (Document not available).
