Adding candidates


There are five ways to add new candidates to Kenjo: 


You can create a candidate by clicking on Recruiting > Candidates > [+]. 

In the pop-up you will see the fields you created for the candidate in Settings > Recruiting - Settings > Candidate fields.


If you want to forward applications that were sent to your personal mailbox, you can send them directly to Kenjo by forwarding them to the address shown here. Afterward, a new applicant will be created automatically.

Steps to create email2candidate automatic forward.

  1. Find the email of your organization, this would be something like
  2. Follow these steps in case you want to create an automatic forwarding rule in your email server (example of Gmail server).
    1. Follow the steps described in this link:
    2. Be sure that you are the administrator of your email (otherwise a validation code would be sent, which is not a valid option for this scenario).
    3. Set the forwarding rule from settings.

To see the candidates created through this option go to Recruitment > Talent pools > Inbox.

Career page

Once your career site is published and open positions are activated, candidates can apply online. 

The Chrome Extension

To add profiles of potential candidates from social networks such as LinkedIn, Xing, Facebook, Twitter, Instagram, Behance, and Angellist, see this article: The Chrome Extension.

Managing candidates

Access the profile of the candidate you wish to manage through Recruitment > Candidates. From here you will have access to different functionalities grouped by tabs.


If you are the Hiring Manager or an Admin, just click on the candidate's name and you can add information and documents. 


Here you can consult the score that each member of the selection team gave to the candidate, as well as the general recommendation. 


In the Emails tab, you can communicate with the candidate using his email address. To start, click on "Compose email" and if necessary choose a template or write a new message. If you don't want to send an email immediately you can schedule it to be sent. 


Distribute work steps to all of your team members. Here you create new tasks, assign a deadline and select a person responsible for the specific work. By doing so, you always keep an overview of the progress of your process.

Activity feed

Having several people involved in the recruitment process you need to have a record of the activity, which will show who has done what in the candidate profile.  

In addition to the tabs described above, you have access to the following actions:


With a single click on the Review tab, you have all the relevant information about a candidate. You will see the open documents and you will be able to move the applicant to another phase with only one click.

You can navigate to the previous/next candidate using the Left/Right arrow keys respectively. Also, you can use the Esc key to close the Review tab. 

Towards the right top corner, you will find the option to review candidates from other stages.



With the scorecards, everyone in the Hiring team can now rate the candidate according to the parameters you have preset. It is also possible to keep notes in addition to the rating. Based on the rating given, Kenjo calculates this applicant's score for the specific skill.  Each scorecard automatically contains a field for your overall impression at the end of the sheet. This is where you can enter your personal, final rating. Afterward, the system calculates the percentage fit of the applicant, and you will see the result immediately after opening the applicant.


The move button is your shortcut to move the applicant to another phase. You can also use the pipeline for this. It allows you to move your applicants using drag & drop. 

Other functions

Other candidates

Under this section, you can view the other candidates in This stage or All the candidates for a particular job opening. You can navigate through this section using the Left/Right arrow keys to view the candidates. 


  • Rejected and Hired candidates will not appear on this list of other candidates. 
  • The order of the list is the same order as it is displayed under the Pipelines section. Hence sorting is not possible.


Here you can view/attach files related to a candidate. You can also Review/Edit/Download/Delete the attachments by clicking the "three dots button" against each attachment. 

Discussion box

If you want to save spontaneous thoughts or additional information about a candidate, you can do so by adding a comment. Private comments are only visible to yourself. You can also create comments that are visible to your team or the headhunter. To notify one specific colleague, simply use “@name of a colleague”.


Assign to

If the candidate might also fit into another open vacancy, you can assign him/her to another Job opening or Talent pool by clicking on the Assign to option. 

After the decision is made by the Hiring team click on the [...] button to access the following options:

  • Convert to employee

Have you found the perfect person for your job opening? Congratulations! This means that you will convert this candidate into an employee. In order to do so, go to the candidate profile and click on the three points. The option "Convert applicants to employees" will now appear. After you have selected this option, the system will lead you to an overview in which you can complete the data of your new employee. Your new colleague will now appear in your employee overview. 

  • Reject from this job opening

You can reject candidates that do not meet your expectations with one click in Kenjo. To do so, go to the applicant profile, click on the three dots and select the "Reject applicant" option. You can find out how to automate a rejection email in the article Recruiting Workflows.

  • Reject and send an email

Use this option when you want to reject a candidate and send an email. This option allows you to select a template, and modify the content if necessary. 

  • Remove applicants from the job posting

If the applicant is relevant in other job openings, please use this option.  

  • Delete permanently 

If you want to delete a candidate completely, use this option. This means that all the candidates' data, including the documents, will be deleted.
