Time tracking methods

In this article, you will learn how to set up different time tracking methods and the impact of the different configurations.


With the attendance policies we give you several time tracking methods for your employees:

  • Time sheet management
  • Punch clock
  • Kiosk PIN Code
  • Kiosk QR Code
  • Tracking via API



You can use multiple options at the same time. Please have a look at the article Time tracking in compliance with the law to see the recommended time tracking methods.


Time sheet management


If you select time sheet management your employees can create and edit their time entries under Attendance > My Attendance. This applies for the desktop version and the mobile app. 


 

Note: Activating time sheet management will drive the behavior of the attendance widget in the home screen. If enabled it will allow you employees to enter their time manually.

 




Punch Clock


If you select punch clock your employees can use the punch clock in their desktop widget or the mobile app to check in and out. This applies for the desktop version and the mobile app. 


Note: Activating punch clock will drive the behavior of the attendance widget in the home screen. If enabled it will allow you employees to enter their via punch clock. If you have time sheet management and punch clock activated, the widget will show the punch clock.



  

Kiosk PIN Code


Consider that, at the moment, employees under a policy with Kiosk enabled, will not be able to use the punch clock. This means that punch clock on mobile will not appear, and on desktop will only appear as read only. Your Employees receive a unique PIN Code which they then can use to check in / out via the Kiosk terminal.


The moment you add employees to a policy with the preferred tracking method PIN code, they will receive a notification with their PIN code in:

  • Desktop: the bell icon
  • Mobile: Push notifications
  • Email

Kiosk QR Code


Consider that, at the moment, employees under a policy with Kiosk enabled, will not be able to use the punch clock. This means that if you enable the QR code the punch clock will be replaced by the QR code reader. Employees need to scan a QR Code on the Kiosk with their smartphones to initiate the check in / out process.

Note: Activating Punch Clock and QR code methods at the same time is not recommended since  the aim of the latter is to check in and out through the Kiosk, making it a more restrictive feature than the first. In other words, with both methods active, your employees won’t be able to use Punch Clock in mobile.


Tracking Attendance via API


If you want to track time just via API or Import you simply don't select any other methods. In this way you can ensure that your employees can not change the entries you reported via the API or Import and also prevent conflicts with other time tracking methods.
